The Opportunity

WSDOT is currently seeking an administrative professional to provide essential support to the Area 2 Maintenance & Operations team. This position plays an important role in supporting day-to-day business operations through effective coordination of fiscal, payroll, purchasing, budget, inventory, and administrative activities. By providing accurate, responsive, and dependable support to employees and management, this role helps keep critical maintenance operations running efficiently. The work contributes to WSDOT’s commitment to providing safe, reliable, and cost-effective transportation while delivering quality service to the communities we serve.

What to Expect

Among the varied range of responsibilities held within this role, you/the Fiscal Specialist 1 will:

• Process accounts payable, purchasing, invoices, and payments through TRAINS and PCMS in accordance with department policies and procedures.
• Compile and maintain program budget data and reports.
• Review DOTtime payroll entries, resolve errors, coordinate approvals, and ensure payroll deadlines are met.
• Track commute, POV, vehicle mileage, and taxable fringe benefit records.
• Provide administrative support, including onboarding, records management, correspondence, phones, mail, and office coordination.
• Track K2/DMB work orders in HATS, maintain FHWA documentation, and support emergency communications and reporting.
• Coordinate employee travel, training, certifications, inventory, purchase orders, and vehicle permits.
• Assist the traveling public and provide general customer service and office support.

• Problem Solving and Decision-Making: Applies sound judgment and critical thinking to evaluate information, make informed decisions, and resolve complex or sensitive issues effectively.
• Fiscal and Payment Processing Competence: Effectively utilizes WSDOT's Payment Vouchering and PCMS payment processing systems to ensure accurate and timely financial transactions in accordance with established procedures.
• Payroll Management Proficiency: Applies in-depth understanding of WSDOT's Payroll Management System to process payroll actions accurately, identify discrepancies, and make timely corrections in compliance with department rules and policies.
• Project and Work Order Administration: Uses WSDOT's HATS program to track, process, and complete Reimbursable Work Orders efficiently and in alignment with program procedures and agency requirements.

• This position offers flexible/hybrid remote work options, with telework available 20% or less of the scheduled work time.
• In addition to base salary, employees may be entitled to other forms of compensation depending on the type, duties, or location of the position.
