Primary Duties and Responsibilities

Reporting to the CAO and CFO, the Financial Services Supervisor 2 provides high‑level financial analysis, administrative oversight, and leadership to support faculty, staff, and departmental operations. The role requires strong supervisory skills, comprehensive knowledge of DGSOM fund management, and the ability to work independently while interpreting and applying policy.

Key responsibilities include:

• Lead fund management, purchasing, and research administration operations.
• Analyze monthly financial reports; support budget preparation for DOE and Dean’s Office.
• Supervise pre‑/post‑award administration, FSNS, and ERS processes.
• Provide financial guidance to faculty and supervise administrative staff.
• Oversee graduate student finances, records, and support.
• Manage departmental space inventory updates with Facilities and DGSOM.

This position plays a key role in supporting the department’s financial health, research mission, and operational excellence.

Salary: $7,200 - $15,400 monthly

Required:

• Demonstrated working knowledge of NIH and other agencies for sponsored contracts and grants.

• Familiarity with OMB Circular A-21, A-110 and A-133 policies and procedures regarding contract and grant management.

• Skills in perceiving and defining cause and effect relationships between expenditure rates and budgetary projections.

• Working knowledge of general accounting practices, in particular the accounting policies and procedures of the University of California.

• Skill in performing various accounting transactions such as debiting, crediting, reconciling expenses, preparing trasfer of payroll and non-payroll expenses.

• Demonstrated PC skills, including proficiency with Excel and Microsoft Word.

• Ability to handle high volume of work with changing priorities and constant interruptions to establish priorities and meet deadlines.

• Working knowledge of University’s on-line system including transfer of funds (TOF), purchasing (PAC and Bruinbuy), personnel and payroll (PPP/PTR), expense transfers (NPEAR and UPAYs), query database (QDB), student information system (SIS), effort reporting (ERS), etc.

• Advanced writing skills to prepare correspondences, memos, forms and reports with speed and accuracy.

• Analytical skills to assess personnel and financial information practices and procedure, define problem, formulate logical solutions, develop alternative solutions, make recommendations, and initiate corrective actions.

• Demonstrated ability in multi-million dollar contract and grants pre and post award management.

• Interpersonal skills to establish and maintain a cooperative working relationship with administrators, staff, faculty and students.

• Demonstrated knowledge of Office of Contract and Grant Administration, Extra Mural Fund Management, and Corporate/ General Accounting policies and procedures.

• Ability to use judgment when dealing with confidential information.

• Skill in performing a variety of task independently with minimal direction in a timely manner under conditions of fluctuating workloads, competing requirements, and changing deadlines and priorities.

• Demonstrated skill in supervising groups of employees, including hiring, training, motivating and evaluating performance.
