Job Description

Reporting directly to the Financial Controller, the Accounts Payable Executive plays a crucial role in managing the Accounts Payable function. The primary responsibilities include ensuring timely and accurate processing of suppliers' invoices, supporting other accounting duties, and preparing financial reports as needed.

Requirements

  • Verify supplier invoices in accordance with contracts and purchase orders.
  • Obtain appropriate payment authorization prior to vendor payments.
  • Review and approve invoice postings for accurate general ledger entries.
  • Prepare and process payment batches, ensuring timely and accurate payments to suppliers.
  • Review financial terms and conditions of supplier contracts, highlighting any financial implications.
  • Issue sales invoices and ensure prompt receipt of funds.
  • Reconcile and maintain Aged Payables and Aged Receivables reports.
  • Update and reconcile Fixed and Intangible Assets Registers with General Ledgers.
  • Assist in preparing monthly management accounts, including accruals, prepayments, and reconciliations.
  • Support external financial audits by providing required documentation.
  • Prepare financial reports and assist with ad hoc tasks as assigned.
  • Identify and suggest improvements to enhance efficiency in accounts payable processes.
  • Foster positive relationships with other departments within the organization.

Education/Qualifications:

  • In progress towards attaining an ACCA qualification or equivalent.

Experience:

  • Minimum of 2 years' experience in a finance role (experience in a regulated institution is an asset).

Knowledge and Skills:

  • Strong knowledge of accounting principles and accounts payable processes.
  • Understanding of VAT principles.
  • Experience with general ledger functions and month-end closure processes.
  • Proficiency in financial software and AP modules.
  • Proficiency in Microsoft Excel.
