The Research Support Compliance unit at the University of Miami Rosenstiel School of Marine, Atmospheric and Earth Science Business Operations Department has an exciting full time opportunity for a Financial Analyst 1.
CORE JOB SUMMARY
The Financial Analyst will assist with the financial operations for Rosenstiel by monitoring, supporting, and evaluating grant activities and research accounts from proposals and award set-up to closeout within the assigned department(s) to ensure compliance with applicable University, State and Federal policies. Moreover, this position interprets applicable regulations and assists faculty and staff in understanding the proposal preparation and submission and sponsored programs requirements. This position will be a financial professional who has exceptional analytical, communication and interpersonal skills, as well as strong organizational and time management capabilities. The incumbent will possess the ability to present business information in a manner easily understood by non-financial professionals. This individual will also have a good understanding of financial applications, specifically in Excel. Attention to detail and insistence on the accuracy, timeliness, reliability, and usefulness of business information will be important characteristics.
DUTIES AND RESPONSIBILITIES
Post-Award Functions:
- Prepare and submit comprehensive financial reports, follow up with faculty regarding the submission of technical reports, and ensure that copies are obtained and filed appropriately.
- Maintain detailed salary projection spreadsheets for each faculty member, their laboratory, staff, and students; notify Human Resources of salary funding concerns that may necessitate lay-off notifications for research faculty and staff.
- Ensure award information is up to date and process related amendments, including budget continuations, re-budgeting requests, no-cost extensions, and funding requests; generate all required award reports.
- Distribute account summaries and implement corrective measures, such as cost transfers, with proper justification and supporting documentation as necessary.
- Approve and monitor expense transactions in accordance with approved budgets, ensuring compliance with relevant government and agency regulations, as well as University policies.
- Track award end dates, notify Principal Investigators regarding burn rates, and initiate requests for extensions and fund utilization as required by the award terms.
- Review and approve salary transactions, employee expense reimbursements, acquisitions of capital equipment, journal entries, and purchase order requests, including consulting services, sub-awards, technical supplies, and outside services.
- Perform account reconciliations against the University’s Financial Records System (Workday) for assigned accounts, ensuring agencies remit payments to UM in accordance with contractual obligations.
- Perform effort reporting duties to ensure that all grant-funded salaries are properly certified, thereby preventing any negative fiscal consequences for the University.
- Collaborate closely with faculty, research staff, and colleagues in the central Office of Research Administration to facilitate the efficient and effective closeout of awards, maximizing agency satisfaction and ensuring a positive financial outcome for the University.
- Conduct financial and budgetary planning analyses for accounts; provide analytical support to facilitate decision-making by faculty and senior management.
- Monitor residual balances of fixed-price contracts and coordinate the transfer of these funds to Rosenstiel accounts.
Core Functions:
- Provide assistance and consult with departments in preparing cost and budget analysis and fiscal allocation, as well as developing administrative efficiencies.
- Input and extract data from various business application systems, provide information to faculty and staff as needed.
- Serve as a resource for other departments providing assistance to faculty and staff with cost analysis and fiscal allocation.
- Provide customer service to all faculty, research staff and students related their research activities.
- Exercises discretion and independent judgment in daily activities.
- Responsible for creating and sustaining a collaborative work environment where personnel are treated respectfully, ethically and professionally at all times; responsible for building positive and productive relationships with colleagues at all levels and departments across campus.
- Support the Business Office Leadership with other projects as needed.
- Performance, at the highest professional level, of all other duties as may be assigned.
QUALIFICATIONS
- A bachelor’s degree in Finance, Accounting, Research Administration or related field is preferred.
- Two years of progressively responsible experience, preferably in an academic and research setting.
- Experience in research administration highly preferred.
- Strong accounting and analytical skills, and knowledge of general accounting principles.
- Ability to work in a complex environment with the skills to manage multiple tasks and deadlines, establish priorities, set objectives, and achieve stated goals.
- Ability to work as a team or independently.
- Appreciation for organizational subtleties and a high level of discretion.
- Excellent oral and written communication skills.
- Excellent computer (specifically Excel) and organizational skills.
- Strong customer service focus.
- Attention to detail.
- Ability to learn quickly.
