Job Description

This position provides the administrative support for all aspects of scholarship awarding: processing of department awards, outside scholarship checks, schedule of collections, account reconciliation, awarding to student accounts, liaison with departments and scholarship providers, coordinating scholarship billing, and imaging financial aid records. Coordinate the scholarship account exchanges for need-based scholarships and merit scholarship programs. Select and award restricted scholarship funds. In addition, the position processes housing and residency changes for students, participates in the direct customer service area activities of the office, and trains and supervises student employees. Full-time, regular position, 40 hours per week, 5 days per week. Normal daily work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m. This position pays $20.39/hour, or applicable transfer rate in accordance with the ACSUM collective bargaining agreement.

Essential duties and responsibilities include, but are not limited to:

  • Provide administrative support for the scholarship team.
  • Process department awards and checks from scholarship donors, post to student accounts.
  • Work with the Assistant Director to reconcile the outside scholarship clearing account.
  • Calculate on a daily basis all checks received and process a schedule of collections for daily deposit. Maintain spreadsheets for deposits and disbursements.
  • Coordinate the scholarship billing with the billing team.
  • Assist with updating information in ScholarshipUniverse, our scholarship management system.
  • Liaison with multiple outside scholarship agencies, donors, and department staff.
  • Coordinate the imaging of all Student Financial Services documents.
  • Coordinate the scholarship account exchanges for need-based scholarships and merit scholarship programs.
  • Select and award restricted scholarship funds and notify recipients.
  • Process residency and housing changes for students; adjust budgets and awards as needed.
  • Evaluate the impact of additional assistance for UMaine students. Adjust other financial aid in accordance with federal, state and University regulations and policy as appropriate.
  • Participate in the direct customer service activities of the office, interpreting policy and responding to non-routine requests.
  • Supervise and coordinate the work of student employees in the scholarship area including preparing and maintaining written procedures for a variety of tasks.

Qualifications:

Required:

  • High school diploma or equivalent (G.E.D.) AND two years experience in financial aid.
  • Ability to develop specialized program knowledge across multiple areas.
  • Comfortable in a fast-paced, highly computerized environment.
  • Excellent verbal, written and interpersonal communication skills.
  • Attention to detail, a high level of accuracy and the ability to prioritize multiple tasks.
  • Understanding and the ability to deliver outstanding direct customer service for the office.
  • High degree of experience with Microsoft Word and Microsoft Excel.

Preferred:

  • Knowledge of PeopleSoft /MaineStreet, imaging systems, and Google Programs.
