The Financial Aid Systems & Operations Coordinator supports the effective administration of financial aid operations by coordinating and implementing processes within the Banner financial aid system and ensuring the accurate exchange, tracking, and management of financial aid data. This position plays a critical role in supporting students and families by maintaining efficient financial aid processes, producing award notifications, reconciling funds, and ensuring compliance with institutional and federal requirements.
Working collaboratively with the Director of Financial Aid, Associate Director, and Financial Aid Counselor – Federal Grants Coordinator, the Financial Aid Systems & Operations Coordinator serves as an essential resource for the Financial Aid Office while providing outstanding customer service to students, families, faculty, staff, and external constituents. The successful candidate will possess strong technical aptitude, exceptional attention to detail, the ability to manage multiple priorities, and a commitment to maintaining accurate and confidential records.
Minimum Qualifications
- High school diploma or equivalent required.
- Minimum of four years of related professional experience.
- Ability to type accurately at a minimum of 60 words per minute.
- Experience working with mainframe and/or personal computer systems.
- Proficiency with spreadsheet software in a Windows environment.
- Familiarity with personal computers, printers, and network environments.
- Experience with electronic data transfers and database management.
- Ability to work independently and exercise sound judgment.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and manage sensitive information appropriately.
Preferred Qualifications
- Additional coursework or education in computer science or a related field.
- Prior experience working in financial aid or higher education.
- Understanding of federal financial aid programs and financial aid administration principles.
- Experience using Banner or comparable student information systems.
- Ability to establish and maintain positive working relationships with students, faculty, staff, and the public.
- Demonstrated commitment to providing excellent customer service and projecting a positive public image.
Job Responsibilities
- Coordinate and implement financial aid processes within the Banner financial aid software system.
- Manage electronic data exchanges with the U.S. Department of Education, College Board, and other agencies, including application imports, corrections, Pell Grant support, and related processes.
- Track financial aid applications and generate required communications and information requests for applicants.
- Support the annual setup and maintenance of Banner fund management for endowed and restricted financial aid funds.
- Produce paper and electronic financial aid award notifications and maintain written procedures for award processes.
- Complete annual updates to award letter messaging and workflow documentation.
- Coordinate annual renewal communications, monitor application completion, and prepare files for counselor review.
- Maintain written procedures and documentation for assigned financial aid processes.
- Reconcile financial aid funds with Student Accounts.
- Coordinate the student acknowledgment process for institutional scholarships and maintain scholarship recipient records.
- Assist with information sharing and coordination related to donor-funded scholarships and institutional scholarship reporting.
- Coordinate the release of application information for Holy Cross Linkage accepted students.
- Process student Change of Status updates and assigned financial aid adjustments.
- Provide front-line customer service by greeting visitors and responding to telephone inquiries.
- May provide functional supervision and training for student workers.
- Perform other duties as assigned in support of the Financial Aid Office.
Schedule
Full-time, 12-month position.
