Finance & Procurement Operations Coordinator
We are looking for a Finance & Procurement Operations Coordinator to support financial management and end-to-end procurement processes for our research center. In this role, you will act as the key contact between Business Units, Procurement, and the Accounting Shared Service Center. Responsibilities include budget tracking, purchase request and order management, payment monitoring, arrears resolution, and ensuring compliance with internal controls.
Main responsibilities:
· Support financial and budgets management, assist business teams in clarifying accounting rules, and track accounting variances.
· Act as the link between Business Units, Procurement department, and Accounting Shared Service Center to ensure the operational quality of the research center.
· Responsible for the end-to-end management of the research center’s integrated procurement process, including purchase request (PR) collection and creation, category assignment, Purchase Order (PO) receive, and payment tracking.
· Responsible for handling Self-Procurement Requests (SPR), providing policy interpretation and support for non-procurement intervention processes, and conducting Proactive Review.
· Responsible for the communication and training related to relevant business processes, and for promoting the standardized implementation of the integrated procurement process within the research center.
· Monitor and manage the payment for procurement, make sure all payments happen on time; manage the issues related to PR/PO and invoice, promote timely handling, and avoid process violations and external penalties caused by payment delay; analyze problems, summarize cases, promote improvement, arrange training, and improve business capabilities and process control quality; communicate with business team and clarify operational procedures and processes of procurement in accordance with financial reporting internal control objectives and operational Service-Level Agreement (SLA) requirements, track PR/PO status and provide early warnings for abnormal issues.
· Assist business team to specify the reason for the arrears, collaborate with Account Payables and business departments to drive the resolution of arrears disputes.
· Responsible for organizing and resolving abnormal issues and difficulties arising during PR entry, PO generation, acceptance verification, and payment tracking processes.
· Handle Business Unit request in sporadic supplier qualification to promote smooth and flexible self-procurement execution.
Qualifications & skills requirement:
· Bachelor degree in business administration, accounting, industrial management or related filed
· 1 year or more working experience in an operational / accounting or similar role
· Proficiency with Excel, words and PPT
· Project management experience
· Strong analytical and problem-solving skills
· Attention to detail, can work in high efficiency and stay flexible for the new challenges
· Strong verbal and written communication skills
· Fluent in English
· Familiar with financial and project management methodologies and analytics tools, as well as, general knowledge of local taxation rules is seen as advantage
L ocation & Type of Job: This is a fixed term contractor contract for a Maternity leave replacement. The contract period is up to 12 months. Work is required onsite from office, and our office located at Ruoholahti.
