Job Description

Finance Operations & Admin Specialist

CUSTOM.JOB LOCAL CSITE | General & Administrative

Smadex is a Barcelona-born Demand Side Platform delivering performance and transparency in programmatic for clients across America, Europe, and Asia, with substantial growth across the Asia-Pacific region — expanding revenue, client base, and headcount at a rapid pace.
To support this growth, we are creating a new role: a dedicated FinOps & Admin Specialist for APAC This person will be a critical link between our finance operations and regional commercial activity — someone who not only manages day-to-day financial administration, but who also serves as an informed, strategic presence: deeply aware of our clients, our business relationships, and everything happening on the ground across the region.

What You Will Do

Financial Operations
  • Manage the end-to-end accounts receivable and payable cycle for the APAC region, including invoice processing, payment tracking, and reconciliation.
  • Coordinate billing and collections for all APAC clients billed through the Singapore entity, ensuring timeliness and accuracy.
  • Support month-end close activities including accruals, expense reporting, and financial reconciliations.
  • Liaise with the global FinOps team to ensure compliance with internal financial controls and reporting standards.
  • Assist with audit requests, providing relevant documentation and reconciliations as needed.
  • Monitor client payment status and proactively flag overdue balances, working with the sales team to resolve discrepancies.

Regional Administration & Business Intelligence

  • Act as an embedded operational presence across APAC, maintaining a comprehensive and current understanding of client relationships, deal structures, and commercial activity.
  • Build and maintain strong working relationships with clients, internal sales teams, and regional offices (Singapore, Korea, China, Philippines) to stay informed of business developments.
  • Serve as a trusted point of contact for the FinOps Manager and VP Finance, providing regular visibility into regional client activity, risks, and opportunities.
  • Support onboarding of new clients from a finance and documentation perspective — contracts, purchase orders, credit terms, and vendor setup.
  • Coordinate with the sales and AdOps teams to ensure billing data reflects actual delivery and contractual commitments.
Assist with ad-hoc administrative tasks to support the VP APAC and regional office operations as needed.

What You’ll Bring

Experience & Education

  • 5–10 years of experience in finance operations, accounts receivable/payable, or financial administration, ideally within a technology, media, or advertising company.
  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • Prior experience working in or closely with APAC markets is a strong advantage.

Skills & Competencies

  • Proficiency in Microsoft Excel; familiarity with accounting or ERP software (e.g., NetSuite) is a plus.
  • Strong attention to detail with excellent organizational and time management skills.
  • A proactive, curious mindset — someone who naturally stays informed, asks the right questions, and builds relationships across the organization.
  • Excellent interpersonal skills and the ability to work collaboratively with sales, AdOps, and finance teams across different geographies and time zones.
  • High level of discretion and professionalism when handling sensitive financial and client information.

Languages

  • Fluency in English is required for coordination with global teams and auditors.
  • Proficiency in Mandarin Chinese (spoken and written) is highly preferred — given the strategic importance of the Greater China region, which represents Smadex’s largest APAC revenue market, the ability to communicate effectively with GCR clients and stakeholders is a significant advantage.

Location

  • This role is open to candidates based in Singapore or South Korea. Both locations are home to key Smadex APAC offices, and the successful candidate will work closely with local teams while maintaining strong connectivity with all regional offices.
