Roles and Responsibilities:

Payroll

  • Manage end-to-end fortnightly payroll processing for ~100 employees using Xero.
  • Validate timesheets, resolve discrepancies, and secure approvals before processing.
  • Maintain and reconcile leave balances and accruals (annual, personal, LSL).
  • Process payroll variations, including allowances, overtime, bonuses, deductions, and reimbursements.
  • Ensure compliance with Australian payroll legislation, including STP, PAYG, and superannuation.
  • Perform payroll reconciliations and ensure records are audit-ready.

Finance Operations

  • Process accounts payable and receivable transactions, including invoice coding, approvals, and reconciliation.
  • Manage supplier invoices via systems such as HubDoc/Dext.
  • Monitor the finance inbox and respond to queries on time.
  • Maintain purchase order registers and ensure alignment with approved spend.

Systems & Administration

  • Administer user access across finance systems (Xero, WorkflowMax, Dext).
  • Set up employee profiles, permissions, and cost centres.
  • Support onboarding by provisioning system access and guiding users on finance processes.
  • Manage corporate credit card processes, applications, and governance documentation.

Invoicing & Revenue

  • Prepare and issue client invoices based on project data.
  • Ensure accurate coding, documentation, and timely processing.
  • Perform subscription revenue reconciliations (e.g., Stripe, Recurly) and resolve discrepancies.

Month-End Support

  • Assist with month-end close, including reconciliations and high-volume invoice processing.
  • Support financial reporting and maintain accurate financial records.
  • Coordinate documentation for audits and compliance reviews.

Required Experience:

  • At least 3–5 years of experience in payroll and finance operations.
  • Proven experience managing end-to-end payroll (80–100+ employees).
  • Experience using Xero Payroll and accounting systems.
  • Hands-on experience with accounts payable, receivable, and reconciliations.
  • Experience working in a transactional finance or shared services environment.

Minimum Qualifications:

  • Certificate or Diploma in Accounting, Finance, Bookkeeping, or Business Administration.
  • Strong knowledge of payroll processes and accounting principles.
  • Solid understanding of Australian payroll legislation and compliance.
  • Strong attention to detail and organizational skills.

  • Ability to manage tight deadlines and high-volume transactions.

Proficient With:

  • Xero Payroll and accounting systems
  • WorkflowMax, Dext, HubDoc (or similar tools)
  • Microsoft Excel (intermediate to advanced)
  • Financial reporting and reconciliation tools

Experience Advantage:

  • Experience with Australian payroll (STP, PAYG, superannuation)
  • Exposure to Stripe, Recurly, or subscription billing platforms
  • Experience in audit support and compliance reviews
  • Background in shared services or high-volume finance environments
  • Experience interpreting modern awards and employment conditions
