
Position: Finance and HR Coordinator
JOB OVERVIEW:
Manage accounts to achieve guest satisfaction and solicit past and new business to ensure all revenue goals are achieved or exceeded. Conduct day to day operation of the hotel Human Resources department including but not limited to: creating a positive environment focusing on associate recognition, greet and communicate effectively in a timely fashion with internal and external guests including associates, assisting with Crescent and Hilton brand training to foster the message of the culture and goals, coordination of company and union benefits and enrollment process, assisting in the management of recruitment, hiring, training and development, respond to inquiries regarding policies, procedures, programs and escalating associate concerns and issues as necessary.
REPORTS TO: Director of Finance and Director of HR
ESSENTIAL JOB FUNCTIONS:
Research and resolve credit card chargebacks and prepare responses to financial institutions.
Manage Accounts Payable processes to ensure timely, accurate, and compliant payments.
Reconcile vendor statements and follow up on discrepancies to prevent past-due invoices.
Assist with the creation and processing of purchase orders.
Review purchase orders (including GL coding), invoices, and receipts for accuracy; upload approved documentation into BirchStreet.
Investigate, reconcile, and resolve invoices in exception and non-matching status.
Accrue invoices not processed by the Accounts Payable month-end cutoff.
Monitor and respond to the Accounts Payable mailbox, ensuring timely communication with vendors and internal stakeholders.
Prepare and record daily cash deposits in accordance with company policies and procedures.
Perform additional duties as assigned to support Finance and HR operations.
Greet and assist associates and guests who enter the Human Resources Department.
Manages, prepares, and processes payroll weekly including entering annual increases and contractual union increases.
Manages, prepares, and processes union benefits administration and billing.
Assist associates with requests and/or information.
Create or update Human Resource bulletin boards and other posting locations as needed. Ensure required postings are current and up to date.
Assist with associate events and recognition, as needed, e.g., Rising Star program, Anniversary Awards program, hotel brand required meetings, etc.
Explain elements of various benefits to associates as required. Assist with distribution of enrollment forms. Benefits include: Medical, Dental, Vision insurance, Life and Disability insurance, Flexible Spending accounts, Tuition Assistance, 401k and Paid Time Off.
Assist with filing and monitoring Worker Compensation claims. Alert Human Resource Director of any associate’s modified work duties.
Prepare department correspondence and memos as needed.
Maintain accurate associate files and other HR records including leave administration.
Schedule and hold orientation sessions and training for new hires and prepare necessary paperwork.
Coordinate all other pre-selection activities, including drug testing; reference checks, etc., to ensure compliance with all Company policies and
Ensure all new hires and existing associates possess proper employment eligibility
Perform any other job-related duties as assigned
REQUIRED SKILLS AND ABILITIES:
Must have the ability to communicate in English. Must be able to juggle several tasks and have strong follow-up skills. Must have high attention to detail. Self-starting personality with an even disposition. Maintain a professional appearance and manner at all times. Working knowledge of Federal and local regulations relating to OSHA and worker's compensation. Working knowledge of Finance Accounts Payable and Human Resources practices and procedures as well as considerable knowledge of State and Federal laws and regulations pertaining to Finance and Human Resources matters. Ability to effectively deal with associates and external guests, some of whom will require high levels of patience, confidentiality, tact and diplomacy to defuse anger, resolve conflicts and collect accurate information.
For applicants who will be working in California, the anticipated compensation range for the position is $30.00 - $ 35.00 per hour, based on a 40-hour work week. The salary offered to a successful candidate will be dependent on several factors that may include, but are not limited to years of experience within the job, years of experience within the required industry, education, work location, etc. Crescent Hotels is a multi-state employer and the salary ranges indicated herein may not reflect positions that work only in other states.
