Location: Quito, Ecuador

Full-time: 40 hours per week
Contract: Fixed term contract, 6 months from 15 October 2026

Salary: 16,800 USD per annum

We are looking for Finance and Administration Assistant to play a key role in keeping projects running smoothly, providing administrative support, tracking project finances, managing partner agreements, and serving as a central point of contact for donor and partner requests.

How you will do this:

Financial & Project Management

  • Monitor project budgets and expenditures, ensuring financial accuracy and compliance.

  • Review partner financial reports and supporting documentation.

  • Prepare financial reports and support budget planning.

  • Draft and manage project agreements, amendments, work plans, and other contractual documents.

  • Ensure timely programme, project, and donor reporting.

Administration & Operations

  • Process project payments in line with organisational procedures.

  • Maintain accurate project records and documentation.

  • Support the coordination of meetings, events, and other operational activities.

Audit & Compliance

  • Assist with project audits, including document preparation and follow-up actions.

  • Support the implementation of audit recommendations and management responses.

What we are looking for:

We're looking for a highly organised and proactive professional with experience in contract management, business administration, and financial oversight. You'll be confident managing budgets, coordinating multiple priorities, and using CRM and ERP systems to support effective project delivery. A strong communicator, you'll build positive relationships with partners, donors, and colleagues, combining excellent negotiation and interpersonal skills with cultural sensitivity and diplomacy. You thrive in fast-paced environments, can work independently or as part of a geographically dispersed team, and are skilled at turning objectives into action through effective planning, problem-solving, and attention to detail. Fluency in both English and Spanish is essential.
