Job Description

The Role:

The role of the Finance Administration Assistant is to provide a wide range of administrative and accounts support services. This 12 month contract, full time role reports directly to the Finance Manager and is responsible for administrative tasks, management of incoming and outgoing mail, delegation of invoices to internal stakeholders and weekly banking.

About You:

To be successful in this role you will have the ability to:

  • Delegate invoices to appropriate staff in a timely manner using invoice management system (DEXT/Approval Max).
  • Answer and direct incoming calls in a professional manner.
  • Receive client payments over the phone.
  • Manage the accounts mailbox daily.
  • Maintain new customer requests.
  • Review and process direct debit requests.
  • Weekly banking.
  • Provide administrative support to the finance department as required.

Experience:

  • Invoice management
  • Customer service
  • Financial administration
  • Discretion with handling sensitive customer information
  • Software proficiency
  • Previous experience with CRM - Salesforce ideal

Qualifications:

  • Commensurate work experience.
  • Strong attention to detail and organisational skills.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • WWVP Clearance.

We are the major specialist paediatric hospital in Victoria and our care extends to children from Tasmania, southern New South Wales and other states around Australia and overseas.
