Job Description

Position Title:
Field Services Specialist


Reports To:
Field Services Manager


POSITION PURPOSE:
Responsible for providing administrative, project coordination, and operational support for the Development Design Team, Field Services Technicians, and Field Service Manager. Assists with tracking and maintaining project information, coordinating communications, organizing project documentation, and supporting daily department operations to ensure projects are completed efficiently and accurately. Supports internal staff, developers, and member communications while helping maintain organization and continuity across multiple projects and office locations.


JOB DIMENSIONS:
Internal Responsibility - Coordinates with the Development Design Team, Engineering, Operations, GIS, and other internal departments to track project progress, maintain records, organize project documentation, and support communication between departments. Assists Field Services personnel with administrative and project-related tasks.
External Responsibility - Communicates professionally with developers, contractors, consultants, member-owners, and other outside parties regarding project status, requirements, scheduling, and general inquiries. Maintains positive working relationships while ensuring requests are routed appropriately.


PRINCIPAL ACCOUNTABILITIES:
1. Prepare and distribute will-serve letters and related project correspondence.
2. Track and maintain project spreadsheets and databases.
3. Assist with drafting and researching easements
4. Enter and update new load growth projects and related data within LF and other software systems.
5. Organize and maintain project documentation, records, and document retention processes.
6. Draft, edit, and maintain EUSA (Electric Utility Service Agreement) documents and related forms.
7. Monitor department email accounts and voicemail communications to ensure timely follow-up and response.
8. Respond to or route routine inquiries from developers, contractors, members, and internal staff.
9. Provide project status updates and communicate remaining requirements to developers and customers as directed.
10. Coordinate and schedule in-house training and meetings for department personnel.
11. Assist with office management duties for the Bearcat office as needed.
12. Support Field Services Team with administrative and operational tasks.
13. Travel to branch offices as needed to support departmental operations.
14. Assist with special projects, reporting, and process improvement initiatives.
15. Maintain confidentiality of cooperative and member information.
16. Model TCEC's Essential Attributes in daily conduct, demonstrating professionalism, reliability, teamwork, and accountability.
17. Perform all other duties as assigned by the Field Services Manager.


MINIMUM REQUIREMENTS:
Education and Experience High school diploma or graduate equivalency diploma (GED) required. Experience in utility operations, project coordination, administrative support, or customer service preferred.


Operational Experience 1–3 years of related administrative, utility, project coordination, or office support experience.
Experience working with project tracking systems, spreadsheets, and document management preferred.


Knowledge/Skills/Abilities
Must possess excellent oral and written communication skills.
Must be able to clearly convey TCEC processes, requirements, and project information.
Must demonstrate the ability to learn and apply new software systems.
Must be proficient in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
Experience with project tracking software, GIS systems, LF, or other utility software preferred.
Must possess strong organizational and multitasking abilities.
Must be able to prioritize assignments and manage multiple projects simultaneously.
Must demonstrate attention to detail and accuracy in maintaining records and project documentation.
Must be capable of identifying issues and communicating them appropriately to management.
