Job Description

We are seeking a highly organized and detail-oriented Field Service Administrator to join our team. The Field Service Administrator will be responsible for administering and assisting the Field Service Manager to coordinate all aspects of service delivery, ensuring that our customers receive the highest level of service possible. The ideal candidate will have excellent communication skills, be able to work well under pressure, and have a strong customer service focus.

Responsibilities:

  • Customers - Assist Customers with enquiries, bookings and service scheduling
  • Customer Administration - Administration tasks associated with customer purchase orders
  • Site Administration – Complete and submit Site Entry Documentation as required for worker access to sites
  • Timesheets – Manage Field Service Timesheets – Process timesheets for operations - Interpret and enter data from timesheets onto jobs
  • Administration for Field Service Vehicle Assets – Maintain Asset Register - Ensure currency of registration – Distribute, collect and file weekly vehicle inspections forms – Interpret Inspection checklists and carry out actions arising where required
  • Subcontractors – Liaise with Sub-Contractors to receive invoices and accounts to ensure these are receipted in a timely fashion to the required schedule
  • Field Technicians - Administration and coordination of travel and accommodation bookings
  • Field Technicians – Assist technicians with enquiries and requests
  • Field Technicians – Assist the Field Service Manager to create and maintain site personnel rosters – assist the Field Service Manager to manage and schedule field service personnel leave
  • Field Technicians – Schedule and coordinate Field Service Technicians medical and WHS monitoring bookings
  • Job Management - Use operational software to create and manage jobs – Carry out data entry for jobs
  • Ensure that all service requests are handled in a timely and efficient manner, and that customers are kept informed of the status of their requests
  • Maintain accurate records of all service requests, including customer information, service history, and billing information
  • Work closely with service technicians to ensure that they have the necessary information and resources to complete service requests
  • Communicate with customers to gather information about their service needs, and to provide updates on the status of their requests
  • Assist with billing and invoicing for service requests, and ensure that all billing information is accurate and up-to-date
  • Provide administrative support to the service department as needed, including data entry, filing, and other tasks as assigned

Skills & Experience:

  • Current "C" Class Manual Western Australian driver's licence
  • Preferably 2+ years experience in administrative roles supporting mining or field operations
  • Intermediate to advanced Microsoft Office skills (PowerPoint, Word, Outlook, and Excel)
  • Roster management exposure
  • Confidence working independently and managing shifting priorities
  • Strong problem-solving skills and quick thinking
  • A positive, team-focused attitude with a can-do approach
  • Energetic, self-motivated, and adaptable to change
  • Excellent communication skills and a commitment to integrity
  • A solid work ethic and drive to work efficiently and responsibly
  • Organised and flexible, able to respond effectively in dynamic environments
