The Field Recruitment & Onboarding Coordinator is responsible for supporting recruiting, hiring, and onboarding activities for designated healthcare parking operations. This role serves as the primary talent resource for local Operations leaders, ensuring staffing needs are met efficiently while delivering a positive candidate and new hire experience.
This role manages job requisitions, sources and screens candidates, coordinates interviews, facilitates onboarding activities, and ensures compliance with all employment eligibility and hiring requirements. This position works closely with Operations leadership and maintains a collaborative relationship with Talent Acquisition and Onboarding teams to support workforce needs and organizational goals.
Work Location: This is an onsite position based at UHealth, located at 1400 NW 12th Ave, Miami, FL 33136. UHealth Tower (formerly University of Miami Hospital)

Key Responsibilities
- Partner with Operations leaders to understand staffing needs and workforce priorities.
- Manage recruiting activities for assigned healthcare parking locations.
- Create, review, and maintain job requisitions within the Applicant Tracking System (ATS).
- Ensure requisitions are compliant with company standards, including job titles, FLSA classifications, compensation requirements, and applicable union/CBA provisions.
- Source, screen, and evaluate candidates for hourly and supervisory positions.
- Coordinate and schedule candidate interviews with hiring managers.
- Maintain consistent communication with candidates regarding application status, interview scheduling, and hiring decisions.
- Create and process offer letters in accordance with company guidelines.
- Support hiring managers throughout the recruitment process and provide guidance on recruiting best practices.
- Maintain recruiting activity and candidate records within the ATS.
- Serve as the primary point of contact for new hires throughout the onboarding process.
- Process candidate information and initiate new hire workflows within the ATS and onboarding systems.
- Transition new hires from offer acceptance through onboarding completion.
- Launch onboarding documents and monitor completion status.
- Review onboarding documentation for completeness and accuracy.
- Coordinate timely activation of employee records within UKG or other designated HR systems.
- Ensure all required onboarding steps are completed prior to employee start dates.
- Delivering a positive and professional onboarding experience that supports employee engagement and retention.
- Initiate and monitor background screening requests through approved vendors.
- Order and manage I-9 employment eligibility verification forms.
- Review and validate I-9 documentation and E-Verify submissions for accuracy and compliance.
- Maintain compliance with federal, state, and local employment regulations.
- Conduct quality audits of employee files to ensure required documentation is completed and maintained.
- Ensure employees meet all healthcare client onboarding, credentialing, and badge access requirements prior to their start date.
- Monitor ongoing compliance with hospital and client-specific training, certification, screening, and documentation requirements.
- Escalate compliance concerns and documentation discrepancies as appropriate.
- Maintain confidentiality of employee and candidate information at all times.
- Maintain regular communication with healthcare Operations leaders regarding staffing progress and onboarding status.
- Track recruiting and onboarding metrics to support operational workforce planning.
- Assist with workforce initiatives, hiring events, employee referral programs, and recruitment campaigns.
- Support process improvement initiatives that enhance recruitment efficiency and onboarding effectiveness.
- Participate in special projects and perform other duties as assigned.

Skills, Knowledge, Expertise and Requirements
- Knowledge of recruitment, onboarding, and employment practices.
- Working knowledge of Form I-9, E-Verify, and employment eligibility verification requirements.
- Strong customer service and relationship-building skills.
- Excellent verbal and written communication skills.
- Ability to effectively interact with candidates, employees, managers, and healthcare clients.
- Strong organizational skills with exceptional attention to detail.
- Knowledge of CDL and Non-CDL driver requirements preferred
- Ability to manage multiple priorities in a fast-paced, high-volume environment.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, Teams, and PowerPoint.
- Experience with ATS, HRIS, UKG, Pinpoint, HireRight, or similar systems preferred.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Strong problem-solving and follow-up skills.
- Ability to work independently while collaborating effectively with Operations, Recruiting, and Onboarding teams
REQUIREMENTS:
- Associate's degree in Human Resources, Business Administration, or related field preferred.
- High school diploma or equivalent required.
- Minimum of 3 years of experience in recruiting, onboarding, human resources, or workforce administration.

PHYSICAL DEMANDS & WORKING CONDITIONS:
- Ability to sit, stand, walk, and move throughout parking and healthcare facility environments as needed.
- Ability to occasionally lift and carry up to 15 pounds.
- Ability to travel locally between assigned healthcare locations, if required.
- This position operates in a professional office environment as well as healthcare parking facilities. The role regularly interacts with candidates, employees, hospital personnel, patients, visitors, and operational leadership and must maintain a high standard of professionalism, customer service, and confidentiality.
