Overview:

Pembina Pipeline Corporation’s Grande Prairie office is actively hiring a Field Office Administrator for a 12-month term. This role reports to the Supervisor of Field Administration and provides administrative and operational support to field and office personnel. The Field Office Administrator is responsible for providing reception, administrative, and technical training support for the district team.

The Field Office Administration Team plays a critical role in supporting day-to-day operations by providing administrative, coordination, and customer service support to field employees, leaders, contractors, and external stakeholders. This team is responsible for managing office operations, maintaining records and documentation, coordinating meetings and travel, processing invoices and purchase requests, supporting onboarding activities, and ensuring compliance with company procedures and regulatory requirements. Acting as a central point of contact, the team helps facilitate efficient communication between field locations and corporate functions, enabling operational teams to remain focused on the safe, reliable, and effective execution of business activities. Through strong organizational skills and attention to detail, the Field Office Administration Team contributes to a productive, professional, and well-managed workplace environment.

This position is expected to run for approximately 12 months.

Responsibilities may include but not limited to:

Key Responsibilities

  • Champion Pembina’s Zero by Choice safety culture and Life Saving Rules by embedding physical, psychological, and cyber safety into all work practices while taking personal accountability to maintain compliance, support audit readiness, proactively identify risks, and protect our people, assets, and data;
  • Prepare, edit, and maintain reports, correspondence, records, and other business documentation;
  • Audit truck tickets, receipts, and waybills for multiple facilities to ensure accuracy and compliance;
  • Compile and distribute daily work schedules and communicate operational updates with the Sherwood Park Control Centre;
  • Coordinate and maintain training records, learning management system uploads, reports, and business documentation using SAP, SuccessFactors, Excel, and other business systems;
  • Maintain SharePoint sites, Microsoft Forms, and electronic records management systems;
  • Process goods and service receipts within SAP;
  • Provide support for Oil Accounting activities and related administrative processes;
  • Manage document scanning, electronic filing, and physical records retentionl;
  • Assist with corporate credit card reconciliation, travel coordination, and booking arrangements;
  • Support Corporate Community Investment and employee engagement initiatives;
  • Provide reception coverage and backup administrative support as required;
  • Collaborate with and support various business units and service groups across the organization;
  • Participate in mandatory safety training and promote a strong safety culture;
  • Identify and implement continuous improvement opportunities to enhance administrative efficiency and effectiveness;
  • Build strong working relationships and collaborate effectively with internal stakeholders across departments;
  • Commit to a 12-month term position;
  • Perform other related administrative and operational duties as assigned;
  • Support and contribute to a diverse and equitable workplace.

Qualifications:

  • Minimum of a Grade 12 Diploma; Business Administration Certificate or Diploma is preferred;
  • Advanced proficiency in Microsoft 365 applications, including Outlook, Excel, Word, PowerPoint, Teams, SharePoint, and Forms;
  • Experience with SAP, SuccessFactors, Power BI, or other enterprise systems is considered an asset;
  • Proven ability to manage multiple priorities simultaneously while maintaining accuracy, attention to detail, and high-quality work;
  • Strong verbal and written communication skills;
  • Excellent customer service, relationship-building, and interpersonal skills;
  • Experience supporting multiple stakeholders within a fast-paced operational environment;
  • Demonstrated ability to quickly learn and adapt to new systems, technologies, and processes;
  • Experience with document management, records administration, and electronic filing systems;
  • Strong analytical and problem-solving skills with the ability to work independently and exercise sound judgment;
  • Self-motivated professional with a strong work ethic, initiative, and accountability;
  • Positive, adaptable, and collaborative team player who contributes to a respectful and productive workplace culture;
  • Willingness to cross-train, support a variety of administrative functions, and assist the broader team as business needs evolve; and
  • Valid Driver's License.

The successful candidate must be legally able to work in the country of the position. The final candidate will be required to undergo Pre-Employment Background Checks including a Criminal Record Check.
