The Project Coordinator provides administrative and operational support to field and project management teams throughout the project lifecycle. This role coordinates project setup, documentation, recordkeeping, compliance activities, and closeout processes to ensure accurate information, consistent communication, and smooth project execution.
The Project Coordinator works closely with project engineers, project managers, superintendents, subcontractors, and other project stakeholders to maintain organized project records, support document control, track compliance requirements, and facilitate effective project administration.
This position has no supervisory responsibilities.
Provides administrative and coordination support to project teams and collaborates with internal and external stakeholders as needed.
May assist with onboarding or providing process guidance to project team members related to administrative systems and documentation requirements.
Coordinate project setup activities, including project directory creation, CMiC project maintenance, and initial project documentation.
Provide administrative and operational support to project managers, project engineers, superintendents, and field teams throughout project execution.
Support document control processes by organizing, tracking, maintaining, and distributing project drawings, specifications, bulletins, and other project documentation.
Partner with VConstruct and project document control team members to maintain accurate and current project information.
Support jobsite logistics and administration, including office setup, supply accounts, vendor coordination, and related operational needs.
Prepare and route assigned subcontracts and other project documents through DocuSign when a Contracts Administrator is not assigned.
Track subcontractor compliance requirements, including insurance, bonds, and prequalification status within CMiC.
Maintain accurate project records and documentation in accordance with organizational policies, procedures, and project requirements.
Assist with project closeout activities, including gathering and organizing warranties, operations and maintenance (O&M) manuals, turnover documentation, and related records.
Support effective communication and information flow among project teams, subcontractors, vendors, and other stakeholders.
Identify opportunities to improve project administrative processes, documentation practices, and workflow efficiency.
High school diploma or equivalent experience required.
3–5 years of experience in construction project administration, project coordination, or a related field required.
Experience supporting construction project teams and working with project documentation, compliance, and closeout processes preferred.
Familiarity with construction management and document control systems, including CMiC, DocuSign, or similar platforms preferred.
Strong organizational and document management skills with attention to accuracy and detail.
Strong written and verbal communication skills with the ability to collaborate effectively across field, project management, and external teams.
Ability to prioritize multiple responsibilities and maintain accurate records in a fast-paced project environment.
No professional certifications or licenses required.
Cardiopulmonary Resuscitation (CPR) and First Aid training required within six months of hire.
