We are seeking a highly organized, proactive, and results-driven Executive Assistant to support one of our Business Head in the Region.

This role goes beyond traditional administrative support—you will act as a strategic partner, helping drive key initiatives, coordinate cross-functional projects, and ensure operational excellence across the business.

The main responsibilities are:

Executive Support

  • Manage complex calendars, scheduling meetings, appointments
  • Handle Travel arrangements, invoice management, personal agenda and events
  • Prepare materials for meetings, including presentations, reports, and briefing documents.
  • Serve as a gatekeeper and liaison between the Business Head and internal/external stakeholders.
  • Handle confidential information with discretion and professionalism.

Project Management

  • Support the planning, execution, and tracking of strategic initiatives and cross-functional projects.
  • Develop project plans, timelines, and tracking tools to ensure timely delivery.
  • Coordinate with stakeholders across departments to gather updates and remove roadblocks.
  • Monitor project progress and provide regular status updates to leadership.
  • Assist in prioritizing initiatives aligned with business objectives.

Business Operations Support

  • Coordinate internal communications and follow-ups on key action items.
  • Support process improvement and operational efficiency initiatives.

Requirements

  • 9+ years of experience as an Executive Assistant supporting senior leadership (C Suite Level) - Required
  • Full English Fluency
    • Excellent written and verbal communication skills in English and Spanish.
  • Exceptional attention to detail and follow up on agenda items
  • Proven experience in project coordination or project management.
  • Strong organizational, multitasking, and time management skills.
  • Advanced proficiency in Microsoft Office (Excel, PowerPoint, Outlook).
  • Ability to work independently, prioritize effectively, and thrive in a fast-paced environment.
