General Purpose of Job
To operate information processing systems to complete fingerprints, background checks, diligent searches and relative searches, including but not limited to: Clearinghouse, local law enforcements checks, checking records maintained by the Lexis Nexis, the Department of Juvenile Justice, and checking Department of Children and Families agency records,
QUALIFICATIONS

Essential Duties and Responsibilities
- Receive and process all fingerprint requests for Circuit 20 for biological/foster/adoptive parents and prospective caregivers.
- Facilitate live scan fingerprinting for all prospective caregivers, and any other parties who may require background screening in relationship to their role within the child welfare system. Availability to conduct fingerprinting before/after business hours and on weekends to expedite placement of children in emergency shelter status.
- Receive and upload all fingerprint results for Circuit 20 in required file location.
- Complete background screening searches via various portals, including but not limited to: JJIS (Department of Juvenile Justice Information System), local law enforcement agencies, Department of Children and Families abuse registry checks, clerk of court, FDLE (Florida Department of Law Enforcement, Sex Offender registries, DMV, etc.
- Review background screening results to determine if further information is needed and follow through on necessary action such as contacting law enforcement agencies for booking reports and clerks of court for criminal and civil trial information and other similar data which clarifies information on the background screening.
- Conduct Lexis Nexis searches for missing or unknown parents and family members and upload all results to the appropriate file location.
- Act as point of contact with other law enforcement and background screening agencies. Maintain ongoing information exchange with local, state, and judicial agencies.
- Prepare, organize, and maintain records, logs, and databases related to background screenings, fingerprinting, and search results, ensuring accuracy and compliance with agency and state requirements.
- Create and distribute monthly/quarterly reports for leadership summarizing background screening activity, compliance metrics, and trends as requested; identify potential risks or delays and recommend solutions.
- Assist with policy and procedure updates by assisting with drafting revisions, maintaining version control, and distributing updated guidance to staff.
- Provide administrative support for audits and monitoring visits, including compiling required documentation, responding to information requests, and ensuring timely follow-up on findings.
- Coordinates scheduling for fingerprinting sessions, meetings with agency partners, and staff training related to background screening and compliance requirements.
- Train and provide guidance to new staff on fingerprinting procedures, background check documentation, and agency protocols.
- Manage secure storage and retrieval of sensitive background screening documents in compliance with confidentiality and data retention policies
- Other duties may be assigned as special projects may be required.
Working Hours
CNSWFL’s standard work week is Monday through Friday, 40 hours per week. Your supervisor will advise you of your work schedule based on the needs of the business. While regular business office hours are 8:00 a.m. to 5:00 p.m., flexibility may be required to accommodate agency priorities, special projects, or urgent matters.
Travel
Travel in and outside of Circuit 20 (Lee, Charlotte, Collier, and Hendry/Glades counties) is required.
Training
All employees must complete fifteen (15) hours of on-line or classroom Training on an annual basis. If the employee is a Certified Child Welfare Professional, Training hours must total twenty (20) annually.

Education and Experience
- High school diploma or general education degree (GED) required, A.A. degree preferred.
- A minimum of three (3) years of previous administrative/secretarial experience and/or training, or equivalent combination of education and experience
- Strong organizational skills and problem-solving abilities is a must; and
- Ability to establish and maintain positive working relationships is also a must
Skills and Abilities
Must be able to operate standard modern office machinery, including fax, telephone, calculator, computer, scanner, printer, copier, and mail machine. Excellent word processing skills. Must be competent with Microsoft Office Suite programs, including Word, Excel, Power Point, and Outlook. Must be competent with basic e-mail protocol and procedures including sending, receiving, replying, and meeting scheduling; excellent written and oral communication skills; effective listening skills; ability to work as a team member, and the ability to work in a multi-cultural environment. Must possess excellent organizational skills and abide by the highest standards of confidentiality.

Ability to speak effectively before groups of customers or employees.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent, to draw and interpret bar graphs.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
