The Weld County Fair Data Entry Clerk is a seasonal position, ensuring accurate entry processing, class organization, and timely reporting of results.

The Data Entry Clerk position at the Weld County Fair involves assisting with the coordination and management of fair entries. This seasonal role is based at the Weld County Extension Office in Greeley, CO, running from May 4 to August 12 (dates may be flexible). The position requires 40 hours per week, with the possibility of additional hours during the fair, particularly the last week in July.

Data Management and Entry - 60%

  • Learn, operate, and maintain fair entry data within the ShoWorks system
  • Process and verify online and paper fair entries for accuracy and completeness
  • Enter, update, and correct exhibitor, class, and project information as needed
  • Maintain organized electronic and physical records of entries and results
  • Perform detailed data checks to minimize errors prior to show and results publication
  • Ensure compliance with fair rules, deadlines, and class requirements


Reporting, Documentation and Results Distribution - 30%

  • Generate judges’ sheets, class lists, and show reports using ShoWorks and Microsoft Office tools
  • Assist in compiling official fair results following shows and competitions
  • Submit fair results to Fair Coordinator
  • Prepare, organize, and distribute fair-related documents and materials to staff and volunteers
  • Support record retention and documentation standards for the fair office


Administrative Support - 10%

  • Work closely with the Fair Coordinator, Extension Agents, superintendents, clerks, and exhibitors
  • Assist superintendents with class organization and class breaks
  • Respond to exhibitor and staff questions with professionalism and customer service focus
  • Support daily office operations during peak fair preparation and fair week
  • Manage multiple tasks efficiently in a fast-paced, deadline-driven environment
  • Perform other related duties as assigned to support fair operations

Required Qualifications

Required Education

  • High School Diploma/GED


Experience Qualifications

  • 3 years Previous experience in an administrative, clerical, or data entry role
  • 3 years Experience performing accurate data entry and maintaining organized records
  • 3 years Experience working in an office environment with multiple deadlines


Skills and Abilities

  • Working knowledge of standard office procedures and administrative practices
  • Familiarity with data management principles and record‑keeping standards
  • Understanding of fair or event operations is beneficial
  • Strong data entry and data verification skills with high attention to detail
  • Proficiency in Microsoft Office applications, including Word, Excel, and Publisher
  • Effective written and verbal communication skills
  • Strong organizational and time‑management skills
  • Ability to prioritize tasks and meet strict deadlines
  • Ability to work independently with minimal supervision
  • Ability to work efficiently and accurately in a fast‑paced, deadline‑driven environment
  • Ability to collaborate effectively with staff, volunteers, superintendents, and exhibitors
  • Ability to adapt quickly to new software systems and procedures
  • Ability to maintain confidentiality and handle sensitive information responsibly
  • Candidate must pass criminal background check prior to employment start date.


Licenses and Certifications

  • Pre-employment substance screening is required for this position.
  • This position is subject to a pre-employment drug screening. Employment is contingent upon successfully passing the screening in accordance with Weld County policy.


This position is non-exempt from the minimum wage and overtime requirements of the Fair Labor Standards Act and is therefore eligible for overtime pay.
