PURPOSE
The Faculty Affairs Coordinator works under general supervision from the Associate Provost and is responsible for coordinating faculty affairs needs in regard to faculty recruitment, faculty development and faculty retention activities, which includes coordinating compliance, standard administrative procedures, and guidelines. The position in close consultation with the colleges, schools, and departments coordinates support of faculty affairs activities. It will serve as a liaison between academic affairs, institutional excellence and compliance, and human resources as well as other relevant units in regard to faculty affairs.
DESCRIPTION
Functional Area 1: Faculty Affairs Coordination
Percent Effort: 50%
- Coordinates processes for tenure and non-tenure track faculty searches throughout the division, including tenure on arrival when applicable.
- Develops and disseminates full-time and part-time faculty initial and renewal notice of appointments, in coordination with the Office of the Provost. Prepare amendments as necessary. Coordinate letters with academic units and ensure the letters are scanned into the official records system, such as Laserfiche.
- Develop and maintain departmental or division-wide workflow documentation as it relates to faculty hiring and record keeping, ensuring accuracy.
- Serves as an advisor to academic units on faculty employment procedures.
- Develops and provides training to college/department staff on the various faculty processes.
- Provides information and assistance to academic departments on System regulation and university rules pertaining to faculty hiring. Conducts workshops and training sessions.
- Administers the verification of faculty members’ education and experience as it relates to the courses that they will be teaching for the academic year and ensures that faculty credentials are consistent with SACSCOC guidelines. Review credentialing packets for accuracy and completeness. Ensures CIP code alignment.
- Maintains subject matter expertise in the following: adjunct faculty appointments, joint appointments, promotion and tenure, Interfolio RPT including training, Interfolio Faculty180 support, and tenure clock extensions.
- Manages and facilitates all requests related to these areas.
- Participates in the development of program goals and objectives.
Functional Area 2: Faculty Records, Database Management, and Compliance
Percent Effort: 45%
- Provides database and records management for faculty files, ensuring data accuracy, in all applicable systems, such as Laserfiche, Banner, Interfolio, WorkDay, and shared drives.
- Provide training on faculty databases and records.
- Coordinate processes to help facilitate compliance related to a variety of processes across academic affairs. Processes include, but are not limited to, faculty searches, credentialing, notices of appointment, and workload reporting.
- Audits faculty files and produces faculty rosters for SACSCOC and, as applicable, other accreditation and compliance requests.
- Ensures internal documents and guidelines for the Office of the Provost are compliant with university and system policies.
- Manages and maintains records in accordance with the Systems records retention schedule. This includes, but is not limited to, organizing the electronic filing of documentation, purging per schedule, coding records, producing records for audit and other purposes, administer all requests to dispose of records.

- Lead or serve on Division, University, and System committees
- Perform other related duties as assigned
- Manage confidential and sensitive financial and personnel materials
QUALIFICATIONS
- Bachelor’s degree
- Three years of related experience
- Additional education may be considered as a substitution for the minimum requirements.
- Master’s degree and one (1) year of related experience
SKILLS AND ABILITIES
- Strong attention to detail and ability to identify errors, discrepancies, missing documentation, and compliance concerns.
- Ability to maintain accurate and confidential faculty personnel records in electronic and paper-based systems.
- Proficiency with database management, electronic records systems, Microsoft Office Suite, and other administrative software.
PREFERRED QUALIFICATIONS
- Master’s degree in business, management, higher education administration or human resources.
- Experience in applicable systems, such as Laserfiche, Banner, Interfolio, WorkDay, and shared drives.
- Experience in higher education administration, faculty affairs, academic affairs, human resources, or a related administrative environment.
- Experience supporting faculty hiring, appointments, credentialing, promotion and tenure, or other faculty personnel processes.
- Familiarity with SACSCOC accreditation standards, faculty credentialing, CIP codes, and compliance documentation.
SALARY: Commensurate with education, qualifications, skills, and relevant experience.
- Up to $5,166.67 monthly (Up to $62,000 Annually, Approximately)
