We're looking for a Warranty Administrator who thrives in a fast-paced dealership environment and takes pride in ensuring accuracy, compliance, and exceptional internal customer support. This critical role serves as the liaison between our dealership, manufacturers, suppliers, and service teams to ensure warranty claims are processed efficiently and correctly.
The Day to Day
As our Warranty Administrator, you'll be responsible for managing the complete warranty claims process while serving as a key resource for our service, body shop, and accounting teams. Responsibilities include:
Process, review, and submit warranty claims in accordance with manufacturer and supplier guidelines.
Verify claim eligibility, documentation, and reimbursement amounts.
Authorize warranty claims and follow up to ensure prompt payment.
Manage pre-authorizations and resolve disputed or denied claims.
Identify exceptional warranty situations and coordinate special approvals when necessary.
Review credits, chargebacks, and claims outside prescribed processing timelines.
Process body shop warranty claims, including inspections and required vehicle photographs.
Coordinate with accounting regarding warranty receivables, payments, and credits.
Educate customers on warranty coverage and provisions.
Train internal team members on warranty policies, procedures, recalls, and program updates.
Ensure defective parts are properly returned to manufacturers when required.
Maintain current knowledge of manufacturer recalls, bulletins, and warranty program changes.
Collaborate closely with service, body shop, and management teams to resolve warranty-related concerns.
Maintain professional standards and assist with additional duties as assigned.

Previous warranty administration, dealership, service department, or automotive industry experience preferred.
Strong organizational and time-management skills with the ability to prioritize multiple tasks.
Exceptional attention to detail and commitment to accuracy.
Proficiency with computer systems, dealership software, Microsoft Office, and data entry.
Strong communication skills, both written and verbal.
Excellent people skills with the ability to work effectively across multiple departments.
Problem-solving abilities and sound judgment when handling complex or disputed claims.
Ability to learn and apply manufacturer warranty policies and procedures.
