Job Description

The Factory Testing Document Specialist is responsible for creating, managing, and maintaining all documentation related to factory testing activities across electrical, mechanical, HVAC, controls, and installation disciplines. This role ensures that all test documents, records, and packages are accurate, consistent, compliant with QA/QC standards, and fully aligned with project requirements.

The Document Specialist works closely with testers, supervisors, engineering teams, quality departments, and project managers to support traceability, reporting accuracy, and readiness for internal and customer‑witnessed tests. The role is essential for ensuring that all factory testing documentation meets contractual, regulatory, and internal compliance expectations.

Key Responsibilities

Documentation Development & Management

  • Create, maintain, and update factory testing documents, including test forms, checklists, reports, and templates.
  • Standardize testing documentation across disciplines (electrical, HVAC, mechanical, BMS, installation).
  • Ensure testing documents follow approved engineering drawings, test procedures, and project specifications.
  • Maintain proper version control, document numbering, and traceability throughout all revisions.

Testing Records & QA/QC Compliance

  • Collect, review, and validate completed test sheets from testers to ensure accuracy and completeness.
  • Verify that test results, deviations, and corrective actions are clearly recorded and compliant with QA/QC requirements.
  • Support the preparation of full testing documentation packages for internal QA, customer review, and FAT completion.
  • Ensure all documentation reflects as‑tested conditions and aligns with engineering and quality standards.

Coordination & Support for Testing Teams

  • Collaborate closely with team supervisors and testers to ensure documentation readiness prior to testing.
  • Prepare documentation bundles required for customer‑witnessed factory acceptance tests.
  • Provide administrative and technical support for the creation of punch lists, deviation logs, and corrective action records.
  • Coordinate with engineering and quality teams to resolve documentation‑related discrepancies.

Document Control Systems & Data Integrity

  • Manage testing documentation within approved document control platforms and shared repositories.
  • Ensure high data accuracy and consistent formatting across all factory test documents.
  • Track document progress, document approval workflows, and maintain audit‑ready records.
  • Protect confidentiality and data integrity of all project documentation.

Reporting & Continuous Improvement

  • Prepare consolidated reports, summaries, and testing metrics for supervisory and project management teams.
  • Support continuous improvement initiatives by recommending enhancements to forms, templates, and documentation workflows.
  • Contribute to standardization efforts across the testing organization by aligning documentation practices and creating procedures.

QUALIFICATIONS:

  • Completed Bachelor's or Master's degree in a technical, industrial, civil engineering, electrical engineering, mechanical engineering, or related field. or completed secondary vocational education with relevant experience in technical administration, document control, or a QA/QC environment.
  • Additional training in document management, quality management (QA/QC), or project management is considered an advantage.
  • Minimum of 3 years of experience in technical document management, document control, or project administration.
  • Experience working in industrial, manufacturing, engineering, energy, or data center environments.
  • Experience working with technical documentation, test reports, procedures, checklists, and quality records.
  • Experience in maintaining version control, document revisions, and document traceability.
  • Experience collaborating with multidisciplinary teams (engineering, manufacturing, QA/QC, commissioning, and project teams).
  • Experience supporting FAT, SAT, commissioning, or QA/QC processes is desirable.
  • Experience working with document management systems (DMS, SharePoint, Aconex, Procore, or similar tools) is considered an advantage.
  • Advanced knowledge of technical document management and document control processes.
  • Understanding of FAT, SAT, commissioning, and QA/QC processes.
  • Ability to review and interpret technical documentation, drawings, specifications, and test procedures.
  • Knowledge of document version control, numbering systems, and document traceability principles.
  • Experience in creating and maintaining test forms, checklists, reports, and standardized templates.
  • Strong organizational skills with a high level of attention to detail.
  • Ability to manage large volumes of documentation while maintaining a high level of data accuracy.
  • Good working knowledge of Microsoft Office applications, particularly Excel and Word.
  • Experience working with document management systems and shared repositories is preferred.
  • Strong communication and coordination skills for collaboration with internal and external stakeholders.
  • Ability to work to deadlines and manage priorities in a project environment.
  • Proficient English language skills, both written and spoken.
  • High level of professionalism, confidentiality, and accountability when handling project documentation.
