Job Description

We are looking for a highly organized and proactive Factory Administrator / Production Coordinator with experience in the lighting manufacturing industry. The successful candidate will support the factory, procurement, and sales teams by assisting with quotations, following up with suppliers, coordinating production progress, and ensuring customer orders are completed on time. This role requires strong administrative ability, excellent communication skills, and the ability to work in a fast-paced manufacturing environment.

Key Responsibilities

Sales & Quotations

  • Assist the sales team with preparing and processing quotations.
  • Compile costing information for standard and custom lighting products.
  • Follow up on outstanding quotes and customer requirements.
  • Ensure all quotation information is accurate and updated.

Production Coordination

  • Follow up with production teams on the status of orders.
  • Track manufacturing progress and ensure deadlines are met.
  • Communicate production delays or issues to relevant departments.
  • Assist with production planning administration and job tracking.

Supplier & Procurement Support

  • Follow up with suppliers regarding outstanding materials and deliveries.
  • Ensure suppliers meet required delivery dates.
  • Assist with obtaining pricing and lead times from suppliers.
  • Maintain accurate supplier and purchasing records.

Administrative Duties

  • Capture and maintain job cards, production orders, and related documentation.
  • Update ERP / Excel tracking sheets and production schedules.
  • Assist with filing, reporting, and general factory administration.
  • Support stock control and inventory administration where required.
  • Ensure accurate communication between sales, stores, procurement, and production departments.

Minimum Requirements

  • Matric/Grade 12/NQF4
  • Minimum 3–5 years administrative experience in a manufacturing environment.
  • Previous experience in the lighting industry is essential.
  • Strong understanding of lighting products, components, and manufacturing processes.
  • Experience working with quotations, suppliers, and production coordination.
  • Proficient in Microsoft Excel and Microsoft Office.
  • Experience working on ERP or manufacturing systems advantageous.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Ability to work under pressure and manage deadlines.
