The Facility Services Coordinator is primarily responsible for ensuring the office environment is organized, well-stocked, and operating efficiently. This role manages daily coffee service, pantry operations, and event support to create a welcoming and productive workplace for employees, clients, and visitors. Proactively monitors inventory, coordinates with vendors, maintains common areas, and provides support to the Facilities Manager and office events to ensure a positive workplace experience. The ideal candidate is highly organized, service-oriented, and able to manage multiple priorities in a fast-paced environment while delivering exceptional customer service.

  • Manage inventory and ordering coffee, beverages, snacks, and pantry items.
  • Maintain clean, organized, and fully stocked pantry areas throughout the day.
  • Provide daily coffee equipment maintenance.
  • Coordinate coffee service, including replenishing supplies and scheduling maintenance for coffee machines and related equipment.
  • Serve as a point of contact for office vendors, including coffee service, office supply providers, and equipment service technicians.
  • Monitor inventory levels and maintain appropriate stock while controlling costs.
  • Receive, organize, and distribute office deliveries and supplies.
  • Support conference room readiness by ensuring rooms are clean, stocked, and equipped for meetings.
  • Assist with preparing workspaces and ensuring necessary office supplies and equipment.
  • Coordinate office maintenance requests and communicate facility issues to building management.
  • Support office events by ordering catering, setting up furniture, refreshments, and ensuring meeting spaces are prepared.
  • Maintain a safe, clean, and welcoming office environment for employees and visitors.
  • Track office-related expenses and assist with budget management as needed.
  • Perform other administrative and office support duties as assigned.
  • High school diploma or equivalent; associate's degree preferred.
  • 2+ years of office coordination, administrative, or facilities support experience.
  • Strong organizational and time management skills.
  • Excellent communication and customer service skills.
  • Proficiency with Microsoft Office (Outlook, Excel, Word, and Teams).
  • Ability to lift and move office supplies weighing up to 25 pounds.
  • Ability to prioritize multiple tasks and work independently.
  • Experience managing office vendors, service contracts, and inventory preferred.
  • Strong attention to detail and problem-solving abilities.
  • Experience supporting workplace operations in a corporate office environment.
  • Professional, positive attitude with a service-oriented mindset.
