Hostel Operations is a site-based leadership role responsible for managing all aspects of hostel facility operations within a campus environment. This position requires comprehensive oversight of residential facilities including accommodation management, housekeeping, security, maintenance, and resident services. Prior experience in hostel facility management is essential. Key Responsibilities

Hostel Operations Management

Oversee day-to-day operations of hostel facilities including accommodation blocks, common areas, dining facilities, recreational spaces, and support infrastructure. Ensure seamless delivery of residential services maintaining high standards of cleanliness, safety, security, and resident comfort. Manage room allocation, occupancy tracking, and check-in/check-out processes. Coordinate housekeeping operations ensuring timely cleaning of rooms, corridors, bathrooms, common areas, and external premises. Supervise laundry services, linen management, and replacement schedules. Maintain hostel facilities in pristine condition addressing maintenance issues promptly. Implement and enforce hostel rules, regulations, and standard operating procedures.

Team Leadership and Supervision

Lead and manage hostel operations team including housekeeping staff, security personnel, maintenance workers, and support staff. Plan duty rosters, manage shift schedules, and ensure adequate staffing across all functions. Conduct team briefings, performance reviews, and provide ongoing training and development. Foster a disciplined, service-oriented team culture focused on resident satisfaction. Handle staff attendance, leave management, and workforce coordination. Build team morale and ensure professional conduct at all times.

Security and Safety Management

Oversee 24/7 security operations ensuring safety and security of residents and hostel premises. Manage access control systems, visitor management, and entry/exit protocols. Conduct regular security audits and implement preventive security measures. Coordinate with security agencies and maintain liaison with local authorities when required. Ensure fire safety compliance including functional fire extinguishers, emergency exits, evacuation plans, and regular fire drills Handle emergency situations calmly and effectively, implementing crisis management protocols. Maintain incident logs and report security/safety matters to campus management.

Resident Services and Relations

Serve as primary point of contact for hostel residents addressing concerns, complaints, and service requests promptly. Maintain high standards of resident satisfaction through proactive service delivery and responsive problem-solving. Coordinate resident welfare activities and address grievances through established escalation mechanisms. Ensure comfortable living environment conducive to resident wellbeing and productivity. Conduct regular resident feedback sessions and implement service improvements. Handle disciplinary matters and enforce hostel conduct policies fairly and consistently.

Facility Maintenance Coordination

Coordinate preventive and corrective maintenance of hostel infrastructure including electrical, plumbing, HVAC, furniture, and fixtures. Conduct regular facility inspections identifying maintenance needs and safety hazards. Coordinate with technical teams for repairs and ensure timely resolution of maintenance issues. Maintain inventory of hostel assets, furniture, equipment, and consumables. Manage pest control services and ensure hygienic conditions throughout the facility. Oversee landscaping and upkeep of outdoor areas within the hostel premises.

Housekeeping and Hygiene Standards

Establish and maintain stringent housekeeping standards across all hostel areas. Conduct daily quality inspections of cleaning activities and room readiness. Ensure proper waste management, segregation, and disposal as per environmental norms. Monitor usage and stock levels of housekeeping supplies and consumables. Implement hygiene protocols particularly in dining areas, washrooms, and common facilities. Address hygiene-related complaints immediately and implement corrective measures.

Dining and Catering Coordination

Coordinate with catering service providers to ensure timely, hygienic, and quality food service. Monitor dining hall operations, food quality, menu variety, and service standards. Address resident feedback regarding food services and coordinate improvements. Ensure dining areas are clean, well-maintained, and conducive to comfortable dining experience. Oversee pantry services and common kitchen facilities where applicable.

Compliance and Documentation

Ensure compliance with all applicable regulations including fire safety, health and hygiene, building codes, and hostel licensing requirements. Maintain comprehensive records including occupancy registers, maintenance logs, incident reports, and inspection checklists. Prepare and submit daily, weekly, and monthly operational reports to campus management. Manage hostel budget, track expenditures, and ensure cost-effective operations. Maintain proper documentation for audits and regulatory inspections.

Vendor and Contractor Management

Coordinate with external service providers including housekeeping agencies, security agencies, pest control, laundry services, and maintenance contractors. Monitor vendor performance ensuring service level agreements are met. Review contractor invoices and certify satisfactory service delivery. Conduct vendor meetings and drive performance improvements.

Emergency Preparedness

Develop and maintain emergency response plans for various scenarios including medical emergencies, fires, security threats, and natural disasters. Ensure availability of first aid facilities and trained first responders. Coordinate with medical facilities for resident health emergencies. Maintain emergency contact directories and escalation protocols.

Required Qualifications and Experience

Essential

Minimum 5-7 years experience in hostel management, residential facility operations, or equivalent accommodation management roles. Prior experience managing hostel operations in corporate campuses, educational institutions, training centers, or similar residential facilities is mandatory. Proven track record of managing housekeeping, security, and maintenance operations in residential settings. Experience supervising multi-functional teams in 24/7 operational environments. Graduate degree in any discipline; additional qualifications in facilities management or hospitality management preferred.

Reporting Structure

This position reports to the Campus Lead/Campus Manager and works collaboratively with technical services, soft services, security, and administrative teams to ensure integrated campus operations.

Working Conditions

Site-based position requiring full-time presence at the hostel facility within the campus. Working hours typically align with operational requirements including early mornings, evenings, and weekends as needed. Must reside on-campus to ensure availability for emergency situations. On-call availability required for after-hours emergencies or critical operational issues. Physical requirements include regular facility walkthroughs, inspections across multiple floors, and ability to respond quickly to operational needs.
