The job

We are looking for a facility & office manager for our site in Breda. In essence you will be responsible for coordinating, realizing and directing the objectives and activities concerning office & facility. He or she ensures the implementation and realization of the tactical and operational policy. You act as an allrounder who will work closely with other departments and external parties regarding real estate; facility management and office management. This involves working on long-term issues, but certainly also the short-term needs of the organization. You are constantly focused on preserving the good condition of infrastructure and ensure that the facility is well organized. You report to the Site Manager.

Main responsibilities

• Monitor all building related activities in order to ensure a well-functioning and safe facility. To do so you liaise with external parties like vendors and contractors in order to organize maintenance; building security; facility cleaning, etc.
• First point of contact for colleagues regarding your focus areas. You anticipate the needs of the business and act accordingly, before they impact the business performance. In collaboration with the HSE Officer you perform HSE inspections to make sure everyone is working safely in a safe environment.
• Front office management. Think of registering visitors; hosting contractors; onboarding of new employees; organize team meetings and administrative tasks.
• Responsible for the overall management of the site Document Management System, ensuring effective document control and compliance with applicable ISO requirements.
• Coordinates annual reviews, updates and copyholder management, and follows up with process owners to ensure actions, NCRs, audit findings, training records and equipment calibration/maintenance activities are completed within agreed deadlines.
• Maintains accurate employee, training, equipment and supplier records, supports audits and KPI reporting. Acts as the key point of contact for document management and ensures that required updates and compliance activities are effectively followed up and completed on time.

Requirements

• You have completed an HBO level education or operate on the equivalent level;
• You preferably already have some experience in the field of Real Estate and Facility management or in the Hospitality business; You are naturally service oriented;
• You are able to coordinate multiple projects / issues, all with ambitious deadlines;
• You are able to keep an overview while you work on different tasks in a rapidly changing environment
• You are able to evaluate requests, issues, etc. and translate them into long-term objectives/changes;
• You are punctual, driven and independent;
• You have strong communication skills, both verbally and in writing and have a proficiency level of the English language (spoken and written); Dutch is a real plus as easier to communicate with contractors/suppliers.

Note: This position is offered on a temporary basis for an initial period of 6 months to support the team during a temporary absence. Subject to business needs and organizational requirements, the contract may be extended.
