The opportunity

In this dynamic role, you will support the Facility Manager in ensuring the efficient day-to-day operation of the site while contributing to a positive workplace experience for employees, visitors, and external partners. You will play an important role in coordinating workplace and facility services, supporting administrative and operational activities, and ensuring a safe, well-organized, and welcoming work environment. As part of the Facility Management team, you will work closely with internal stakeholders and external service providers, while also serving as a backup for the Reception function during vacation or sickness absences. This position offers a broad range of responsibilities and the opportunity to further develop your coordination, customer service, and facility management skills in a collaborative environment.

How you'll make an impact

  • Support the Facility Manager in the day-to-day operations and overall management of the site while coordinating and overseeing workplace and facility management services.
  • Serve as the primary point of contact for facility-related inquiries and workplace support activities
  • Coordinate maintenance, repair, and preventive maintenance activities with external vendors and service providers
  • Manage purchase orders, invoices, reports, documentation, and other administrative processes
  • Support workplace-related projects, office relocations, workspace planning, and continuous improvement initiatives
  • Oversee meeting room management, support daily workplace operations, and conduct regular facility inspections and building walkthroughs to maintain high workplace standards
  • Support health, safety, emergency evacuation, and first aid initiatives in compliance with company policies
  • Build and maintain strong relationships with internal stakeholders, suppliers, and external partners while ensuring the delivery of high-quality workplace services and a positive employee experience
  • Provide backup support for Reception during vacation periods and other absences, including managing visitor registrations, site access procedures, incoming calls, and reception communications
  • Represent the company professionally as the first point of contact for visitors and external stakeholders

Your background

  • Completed commercial apprenticeship or equivalent qualification
  • Experience in Facility Management, Workplace Services, Office Management, Administration, or a similar role is an advantage
  • Strong organizational and coordination skills with the ability to work independently, prioritize tasks effectively, and take ownership
  • Excellent communication and interpersonal skills, combined with a service-oriented, professional, and customer-focused approach
  • Positive and proactive mindset, strong problem-solving skills, and attention to detail
  • Proficiency in Microsoft Office applications as well as very good German and good English language skills
