Facilities/Project Coordinator

Regulatory Compliance
• Ensure all facilities operations comply with local, state, and federal regulatory requirements, including safety, environmental, and building codes.
• Maintain up-to-date knowledge of relevant regulations and industry best practices.
• Coordinate and prepare for inspections and audits by authorities and internal teams.
• Document compliance activities and address any identified non-compliance issues promptly.
Key Performance Indicators (KPIs)
• Track and report on key facility and project KPIs such as maintenance response times, equipment uptime, and project deadlines to include CARE, PRP, Public Space PMs, and Maintenance PMs.
• Analyze KPI data to identify trends, areas for improvement, and cost efficiencies.
• Collaborate with engineering leadership to set realistic and measurable goals.
• Implement action plans to meet or exceed performance targets.
Team Training & Development
• Assist in organizing and delivering training programs for the engineering team on standard operating procedures, safety protocols, and new equipment.
• Ensure every team member is adequately trained to meet operational and compliance standards.
• Foster a culture of continuous learning and improvement within the engineering department.
Inventory & Vendor Management
• Monitor and maintain optimal stock levels of maintenance supplies and equipment on the maintenance floor to prevent shortages or overstock.
• Manage relationships with vendors and service providers to ensure timely delivery and quality service.
• Negotiate contracts in tandem with the DOE and evaluate vendor performance regularly.
• Maintain accurate records of orders, assets, and vendor interactions.
Project Coordination
• Support planning, scheduling, and executing engineering and facility-related projects, including renovations, repairs, and upgrades to include CEP, MPM, Capital, and Emergency Capital projects.
• Coordinate between internal teams, contractors, suppliers, and hotel management to ensure clear communication and smooth project flow.
• Track project milestones, budgets, and timelines to ensure adherence to scope and completion goals.
• Report regularly on project status, risks, and outcomes to senior management.
Interdepartmental Partnership
• Training with departments on proper Synergy usage
• Management of CARE program and process with HSK
• Management of weekly Hotel Walkthrough list and Next Steps including dispatching of techs
• Monthly meeting with each department to include Rooms division, F&B, and LP to ensure optimal performance in all areas of the hotel
