About the team

The Facilities & Workplace Experience Manager will lead facilities operations for the Kinaxis Chennai office while supporting future expansion in India. This role is accountable for delivering a best-in-class workplace experience, ensuring operational excellence, and maintaining full compliance within a complex SEZ environment.

As a strong communicator and cross-functional collaborator, this individual will take a proactive, solutions-oriented approach to creating a safe, efficient, and engaging workplace that supports employees, leadership, and business operations.

What you will do

Workplace Experience & Operations

    • Lead and continuously enhance the end-to-end workplace experience, ensuring a clean, safe, and high-performing environment 
    • Oversee housekeeping, pantry services, and front-desk operations, ensuring consistent service delivery aligned with established standards
    • Manage security operations, including guard coverage, supervision, access control, and compliance with SEZ requirements
    • Ensure workplace services (including reception) are aligned with business hours and operational needs
    • Actively gather feedback from employees, BU’s and Corporate Services and drive continuous improvement initiatives

Employee Onboarding & Offboarding

    • Own and manage end-to-end onboarding processes, ensuring new hires have a seamless first-day experience (workspace readiness, access, equipment)
    • Coordinate cross-functionally with HR, IT, and Security to ensure timely provisioning of badges, systems access, and workspace setup
    • Maintain and enforce workplace onboarding standards (desk setup, welcome readiness, orientation support)
    • Manage offboarding processes, ensuring timely access deactivation, asset recovery, and compliance with internal controls
    • Ensure all onboarding/offboarding activities meet SEZ compliance requirements and audit standards

Leadership Support & Events

    • Coordinate leadership and executive visits, ensuring workplace readiness and high-quality experience
    • Plan and execute employee engagement events, town halls, and onsite programs for all-staff events
    • Support expat travel, hotel arrangements, and internal relocations/movements

Support Fitness & Wellness Programs

    • Work with Fitclub Volunteer Ambassadors to support the successful delivery of wellness activities and employee engagement initiatives at the site.
    • Provide local facilities and logistical support for wellness programs, while program guidance, funding allocation, and oversight are provided to Fitclub Volunteer Ambassadors by the Fitness & Nutrition Specialist

Food Programs & Cafeteria Operations

    • Oversee day-to-day cafeteria and catering operations, ensuring consistent food quality, hospitality standards, and a positive dining experience for all employees.
    • Manage the food service vendor relationship end-to-end, including contract adherence, cost reporting, KPI tracking, and performance reviews aligned with global food program standards set by the Director of Culinary Programs.
    • Coordinate all catering for leadership visits, executive meetings, employee events, and global customer engagements, ensuring high-quality hospitality experience.
    • Ensure menus are tailored to local and global dietary requirements, including vegetarian options, Hindu dietary accommodations, vegan offerings, allergen restrictions, and other special dietary needs.
    • Ensure full food safety compliance, including FSSAI regulations, temperature monitoring, safe food handling protocols, hygiene audits, and corrective action procedures; escalate non-compliance immediately and transparently.
    • Maintain dietary accommodation standards across all catered meals, including robust vegetarian and vegan options, clear allergen labeling, and adherence to globally mandated dietary policies.
    • Drive a culture of food waste reduction through responsible purchasing, consumption monitoring, portion management, and end-of-service strategies aligned with Kinaxis sustainability goals.
    • Collaborate with the Global Director of Culinary Programs on globally themed menu calendars, food engagement programming, cultural celebrations, seasonal activations, and continuous improvement of the local food experience.
    • Monitor employee feedback and satisfaction with cafeteria and catering services and implement improvement initiatives to enhance the workplace experience.
    • Contribute to quarterly food program reporting, including food cost analysis, vendor performance summaries, service metrics, utilization trends, and employee satisfaction insights shared with global leadership.

Facilities Management & Projects

    • Oversee all facility operations, including building systems (HVAC, electrical, plumbing, fire & life safety)
    • Manage construction, renovations, and office reconfigurations, including move coordination and execution
    • Provide strategic input into space planning and utilization, supporting growth and corporate expansion initiatives
    • Manage materials movement and logistics within the SEZ, ensuring compliance and documentation

Vendor & Financial Management

    • Manage vendors end-to-end including selection, benchmarking, negotiations, SLAs, AMCs, and performance management
    • Lead local procurement activities for facilities, workplace services, and operations in accordance with corporate policies
    • Track budgets, manage operational expenditures, and provide clear variance reporting and cost optimization recommendations

Health, Safety & SEZ Compliance

    • Ensure full compliance with SEZ regulations, statutory requirements, and internal policies
    • Support and at times lead health and safety programs, including fire safety, drills, and emergency preparedness
    • Support the development and maintenance of Business Continuity Plans (BCP) and emergency response procedures
    • Conduct regular audits and performance reviews to ensure vendor compliance with service standards and safety requirements

What we are looking for

  • 10+ years of experience in Facilities Management and Workplace Experience, ideally within a global or high-growth organization
  • Strong hands-on experience managing housekeeping, security, and workplace services operations
  • Proven track record in vendor management, contract negotiation, and service delivery excellence
  • Experience working within SEZ environments and compliance frameworks (preferred)
  • Solid understanding of building systems and infrastructure (HVAC, electrical, fire/life safety, etc.)
  • Experience supporting leadership visits, events, and employee engagement programs
  • Strong stakeholder management skills with the ability to influence across functions
  • Proficiency in Excel, reporting, and financial tracking
  • Experience managing projects, renovations, and workspace planning initiatives
