Basic Functions:
The position involves assessing space needs, coordinating allocations, and maintaining accurate and up-to-date records of physical spaces including classrooms, labs, offices, and shared facilities. The coordinator ensures space use aligns with safety, accessibility, and university policies and works closely with the Faculty’s GIS specialist to support data analysis and space visualization. The role requires excellent organizational and analytical skills, attention to detail, and the ability to collaborate with various units, including facilities and maintenance teams.
Duties Performed
· Supports the FAS GIS Technologist/Specialist in all matters related to space planning and utilization within the Faculty.
·Develops a comprehensive understanding of space policies, allocation procedures, and inventory management systems.
· Assists in maintaining and updating records of space assignments, usage patterns, and occupancy levels.
· Follows up on maintenance issues affecting the usability of physical space.
· Ensures compliance with university safety, accessibility, and space management policies.
· Contributes to the continuous improvement of internal procedures related to space and data management.
· Assesses space needs of departments and academic units based on current and projected requirements.
· Allocates space efficiently in alignment with institutional priorities.
· Reviews and processes requests for space reservation, repurposing, or modifications.
· Maintains a comprehensive inventory of offices, labs, classrooms, and other spaces, ensuring data accuracy and confidentiality.
· Tracks changes in space assignments and generates regular space utilization reports for the Dean or relevant committees.
· Collaborates with the FAS GIS Technologist/Specialist to map and analyze spatial data.
· Supports the visualization of space use trends and future needs using GIS tools.
· Assists in interpreting spatial data to inform planning and decision-making across the Faculty.
· Ensures that space data is consistently organized, updated, and available for strategic use.
Independence of Operation
· Reports to the FAS GIS Technologist/Specialist
· Works under established procedures and university policies.
Minimum Requirements
Education:
· Bachelor’s degree in Architecture, Engineering, Urban Planning, Facilities Management, Geography, or a related field. A Master’s degree is a plus.
Experience:
· Minimum of 3 years of relevant experience in space planning, facilities coordination, or a similar administrative role, preferably within an academic or institutional environment.
Technical Skills:
· Familiarity with space management principles and inventory tracking systems.
· Familiarity with AutoCAD for drafting and updating floor plans and space layouts.
· Working knowledge of Geographic Information Systems (GIS); experience with ArcGIS or similar tools is preferred.
· Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
