Job Description

As a Facilities Services Manager, you will be responsible for managing employee workspace, improving operational functions and integrating technology for the betterment of our teams and operations. In role, youwill be responsible forthe Integrated Workplace Management System (IWMS)withintheNaperville, Illinois and St. Paul and Eagan, Minnesotacorporate campuses. The idealcandidate will leverage technology and modern space planning conceptsto ensure optimal use and efficiencyof our corporate campusesAdditional responsibilities includeidentifying and implementing improvements in otherFacilitiesfunctions across campuses.

What you will do:

Primary responsibility is toefficiently leverage existing space across our campuses to support the evolvinggrowth and office requirements across ourcampuses.

  • Space Planning: Develop and implement space plans that supportEcolab’sgoals and operational requirements, which could include leveragingAutoCAD software to assist in space planning

  • Strategic Focus:Evolve space management into the discipline of the future by bringing together technology, people and sustainability to orchestrate how physical spaces flex and respond to organizational needs.

  • Stakeholder Engagement: Collaborate with various departments to understand their space requirements and provide solutions that align with their needswith a modern office utilization mindset

  • Data Management: Maintain accurate records of space usage, occupancy, and other relevant data. Use this data to forecast future space needs and make informed decisions.

  • Vendor Management: Manage relationships with external vendors and contractors, ensuring they deliver services in line with agreed terms.

  • FurnitureStock Managefurniture inventory to meet the currentsitestandards

  • Conduct internal space audits of office areas to ensure adherence to corporate policies and standards.

  • Facility Management: Oversee the maintenance and management of physical spaces, ensuring they meet health, safety, and regulatory standards.

  • FMInteractAdministrator-IWMS

  • Support and coordinatebuilding information including the overall integrity of all corporatebuilding-relatedinformationand associated reporting.

  • Provide oversite of the maintenance work order system includingpartnering with Facilities Management team to administer preventative maintenance standards and cadences within work order system.

  • Lead projectsfor systemupdates andimprovements

  • Deliver basic IWMStraining to facilitiesmanagementpersonnelto ensure consistent system use.

  • Ensure all relevant drawingsare current andmaintained,accurate space reports are generatedon a regular basis and serve as the central point of contact regarding the space information solution for the corporate campuses.

  • Communicate with project management, space management and move managementforAutoCAD needs

  • Proactively generate needed reports and analyses on space, includingmanaging, reporting and archiving space allocation data.

  • Provideallocation data in accordance with BOMA Space Allocation Process.

  • Maintain standards for informationexchangefor use with service providers who use CAD applications to do design intent, construction documents, and / or as-built representations.

  • Logging and tracking all on-demand and pre-scheduled maintenance activitiesincludingpreventative maintenance

  • Identify metricsfor both maintenance and space management to promote continuous improvement.

  • Provide up to date floor plans.

  • Coordinate WorkDay database needsincluding working with the daily data feed to correct errors and discrepancies.

  • Otherduties

  • Partnerwith other vendors or otherinternalresources to supportupcomingfacilityneeds.

  • Other duties as assignedincludingsupporting ad hocfacilitiesneeds.

Minimum Qualifications

  • Education:Bachelor’s degree in interior design, Facilities Management, or a related field.

  • Experience: A minimum of 5 years of experience in space planning and facility management.

  • Technical Skills: Proficiency inAutoCAD software and other space planning tools.Understanding of project managementprinciples.

  • Analytical Skills: Ability to analyze data and use it to inform space planning decisions. Strong problem-solving and critical-thinking skills.

  • Communication Skills: Excellent verbal and written communication skills. Ability to present ideas clearly andinfluence decisions ofvariousleaders

  • Attention to Detail: High level of accuracy and attention to detail in all work.

  • Effectively work with all levels of management, peers, associates, and tenants to resolve problems and meetneeds with a customer service mindset.

  • Sustainability Knowledge: Understanding of sustainable design principles and practices in facility management.

  • Team Player: Ability to work collaboratively in a team environment and manage multiple projects simultaneously.

  • Future Trends:Understanding of thegrowing trendsoftheFMlandscape;the cutting edge oftransformation,evolving in tandem with technological advances, sustainability imperatives, and shifting workplace dynamics

Annual or Hourly Compensation Range

The pay range for this position is $85,900.00 - $128,900.00. Many factors are taken into consideration when determining compensation, such as experience, education, training, geography, etc. We comply with all minimum wage and overtime laws.
