About the Role:

We are currently seeking to appoint a Full Time -Permanent - Facilities Property Coordinator at THQ Redfern, NSW.

Purpose of the Role:

The role has been established to support a broad range of administrative functions that will be managed in-house once our agreement with an external Facilities Maintenance services provide concludes.

The role’s primary function is to support Regional and Area Facilities Managers (AFM) with back-of-house functions such as Vendor onboarding and certification against Industry regulations for services rendered, collection and management of the various documents that need to be retained in relations to proof of compliance to regulatory Property standards, working with vendors on payment/invoicing issues, capture & reporting of FM performance related data. The role is an entry for development towards the AFM role should it be desired.

Key Responsibilities:

You will be successful in this role if you can:

  • Responsible for ensuring regulatory compliance standards for the TSA property portfolio being managed by FM can be demonstrated (e.g. Annual Occupier Statements, Asbestos).

  • Assist RFMs with the Vendor selection processes and maintaining a panel of approved vendors.

  • Responsible for Vendor onboarding as suppliers of FM services to TSA.

  • Assist with Property related asset procurement activities that drive cost-out through scale.

  • Assist with Minor Works, coordinating proposals, quotes and scopes of works.

  • Assist with the administration of processing invoices and following up on outstanding works, be the central contact point for Vendors with payment/invoicing issues.

  • Maintain a schedule of Planned Preventative Maintenance works in consultation with the AFM’s

  • Provide reporting support to the AFM and Maintenance Team – Present data that enables insights assisting the identification of opportunities for Property to improve spend management.

  • Administer customer surveys, providing feedback about performance improvement opportunities.

  • Support AFM by managing and coordinating WIP Team meetings.

  • Develop and coordinate RFQ’s and tenders to support WIP requirements.

  • Maintain an auditgf trail of documentation that supports approvals processes.

  • The ability to provide coverage for AFM in times of absence to ensure continuity of service delivery.

  • Maintain the Property Group’s Document management repository, SharePoint.

Qualifications and Experience:

  • Intermediate Word/Excel skills and able to use the MS Office365 suite of tools.

  • Previous property workplace experience – not essential

  • Recently completed tertiary study related to Business, Commercial or Property related.

The Royal Children's Hospital (RCH) has been providing outstanding care for Victoria's children and their families for over 147 years.

We are the major specialist paediatric hospital in Victoria and our care extends to children from Tasmania, southern New South Wales and other states around Australia and overseas.

With a passionate, highly skilled and committed staff campus wide of over 5,000, we provide a full range of clinical services, tertiary care and health promotion and prevention programs for children and young people.

We are the designated state-wide major trauma centre for paediatrics in Victoria and a Nationally Funded Centre for cardiac and liver transplantation.
