Job Description

Central Virginia Community College is located in Lynchburg, Virginia, in view of the Blue Ridge Mountains. CVCC is a comprehensive two-year institution of higher education with an enrollment of approximately 5,000 students in occupational/technical programs and university-parallel/college transfer programs.

This position works with the Facilities Director to help write and maintain contract specifications, renewals and cancellations and make sure the contracted vendor is performing tasks per the contract specifications and charging the appropriate rates. Follows procurement guidelines and specifications to make sure vendor invoices are correctly entered and received in eVa and paid on time. Prepares monthly Bank of America reconciliations and submits them. Helps plan, coordinate and oversee projects and events for the campus as tasked. Perform various facilities duties such as creating spreadsheets and reports, maintaining databases or other duties to meet and maintain the Department’s Standards of Excellence, Compliance, and Quality Control. Maintain and update MR FIX, Cova Trax, FICAS and other software programs and misc. records maintained by Facilities. Serve as a backup to the Facilities office and occasionally assist with answering phones or emails, greeting visitors, scheduling for events and fleet management utilizing Ad Astra, and creating workorders.

This position is designated as “Essential” based on Virginia Department of Human Resource Management’s policy 1.35, Emergency Closings.

Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.


KSA's/Required Qualifications
High School Graduate or equivalent, current Virginia Procurement Institute Certification that includes knowledge of procurement and contract law, knowledge of Virginia Procurement Act, statewide and internal procurement policies and practices, and small purchase card procedures. Applicants must possess a valid Virginia Driver’s License. T

Knowledge of Building Trades and Operations.
Skilled in Data Based Computer Reporting/Spreadsheets, and Record Keeping. Knowledge of Americans with Disabilities Act guidelines and interactive process.


Additional Considerations
Knowledge of Microsoft Office, FICAS, eVa, School Dude, Ad Astra, F1A Utility Reporting spreadsheets, CMMS, Access Control Management and Key Management Software, (Keystone)
Knowledge of State Procurement practices/rules, and contract Administration
Knowledge of AIS Asset Management of physical inventory, surplus deletion, and disposal. Skilled in event planning, coordinating, and organization to implement.
