  • Salary: £43,000 - £47,000 per annum (depending on experience)

  • Job Type: Permanent, full-time, 37.5 hours per week,Monday to Friday, 8:30am–5:30pm.

  • Location: This is a full-time, site-based role based at the IB Global Centre in Cardiff, with a facilities presence required on-site Monday to Friday, 8:30am–5:30pm.

As our Facilities Manager, you will play a key role in ensuring the IB Global Centre in Cardiff remains a safe, efficient, and inspiring place for our people to work.

Working as part of a collaborative Global Facilities Team, you will oversee the day-to-day management of our Cardiff office, ensuring our facilities, services, and infrastructure consistently meet the needs of a dynamic international organisation. From managing supplier relationships and negotiating contracts to overseeing budgets and delivering local projects, you'll be at the heart of creating a workplace that enables our colleagues to do their best work.

You'll act as the local lead for all facilities-related operations, working closely with landlords and external vendors to ensure the smooth running of services including office maintenance, reception, catering, workspace planning, health and safety, business continuity, parking, waste management, procurement, meeting room facilities, and office consumables. You'll also drive continuous improvement, ensuring our working environment is fit for purpose both now and in the future.

Alongside managing a small local team, you'll collaborate with colleagues across the organisation, including the Global Centre Leadership Team, operational teams, landlords, consultants, contractors and public authorities. Building strong partnerships and influencing stakeholders at all levels will be critical to your success.

While the role is focused on Cardiff, there will also be opportunities to contribute to regional and global facilities initiatives as part of the wider Facilities function.

  • Leading the day-to-day operation of the Cardiff Global Centre, ensuring facilities and services are maintained to a high standard and support business needs.

  • Driving health, safety, and compliance, including risk management, emergency preparedness, business continuity planning and ensuring adherence to all relevant legislation and regulations.

  • Managing facilities budgets and suppliers, including contract negotiation, procurement, vendor performance, cost control and service delivery.

  • Leading and developing a small facilities team, fostering collaboration, engagement and high performance.

  • Overseeing workspace planning and office operations, including space utilisation, office moves, seating plans, maintenance schedules and workplace improvements.

  • Delivering facilities projects, ranging from office refurbishments and lease renewals to real estate initiatives, workplace enhancements and capital investment projects.

  • Building strong stakeholder relationships across the organisation, working closely with leadership teams, HR, Procurement, landlords, contractors and external partners.

  • Supporting the organisation’s sustainability goals, promoting environmentally responsible practices and contributing to Net Zero objectives.

  • Ensuring accurate documentation, reporting, and policy implementation, aligning local operations with global facilities standards and processes.

  • A qualification in Facilities Management (or equivalent professional experience), with significant experience in a similar facilities leadership role.
  • Proven experience leading, motivating and developing teams, with a strong focus on customer service hospitality, and employee experience.
  • Excellent stakeholder management skills, with the ability to build trusted relationships across all levels of the organisation and with external partners.
  • Strong commercial acumen, including budget management, supplier procurement, contract negotiation and vendor management
  • Experience preparing and managing contracts, specifications, tender processes and service level agreements.
  • Excellent knowledge of health and safety legislation, risk management, business continuity and regulatory compliance.
  • Strong project management and organisational skills, with the ability to manage multiple priorities and drive facilities improvements.
  • A keen eye for detail and a continuous improvement mindset, identifying efficiencies and enhancing workplace processes and services.
  • Strong IT skills, particularly within the Microsoft 365 suite.
  • An interest in sustainability and environmental initiatives, with a desire to support organisational Net Zero and sustainability goals.

Desirable

  • BIFM Level 4 Diploma (or equivalent professional qualification).
  • Experience of planned preventative maintenance programmes and facilities management systems.
  • Previous purchasing and procurement experience.
  • Current Fire Warden and/or First Aid certification If not already held, training will be provided as part of the onboarding process.

  • You will act as the local facilities lead for Cardiff while working closely as part of a global Facilities team, contributing to both local and wider organisational initiatives.

  • Annual salary between £43,000 - £47,000 (negotiable, depending on experience)
