The Facilities Maintenance Coordinator is responsible for providing planning and scheduling of all non-emergency maintenance activities and conference meeting requests. This position will liaise with the maintenance teams and customers to ensure required resources are identified, planned, estimated, organized and scheduled prior to execution for efficient utilization of the maintenance resources. In addition, this individual will have responsibility to ensure applicable business information/work order data is stored and maintained to support business decisions when needed.
Responsibilities:
Communicate clearly, understand and acknowledge verbal instructions, and be able to read and interpret work from drawings, written work orders, sketches, blueprints, and technical manuals. Estimate work-order completion times and compare to actual.
Coordinate proper safety permitting and provides control of shutdowns, startups, and building services in support of building projects.
Provide work planning and scheduling function for a self-directed work team.
Provide logistical coordination with other stakeholders (i.e. stock support, janitorial, grounds, purchasing, customers, security, and predictive maintenance).
Maintain intermediate to high computer skills necessary to access CMMS work order system, update equipment history, and access parts/material inventory management system.
Schedule work with production departments, print appropriate work orders when scheduled, track and report on the completion of work.
Coordinate and provide primary control of building, site utilities and utility distribution drawings. Establish and maintain equipment SOP’s, MIP, and GMP files.
Coordinates the teamwork schedule to ensure the most effective use of team resources and timely completion of all pre-planned and corrective work
Coordinates with client representatives to understand their needs and to ensure the work schedule takes account of the downtime windows negotiated with clients, where necessary
Assists in the completion of the building audits
Manages building automation systems, building documentation, the preventive maintenance program and the daily tasks of the engineering staff
Visits job sites for work order clarification
Determines and arranges any operational safety requirements for the completion of a Work Order
Creates and publishes weekly, monthly, and quarterly work schedules and makes them available to team members and client representatives
Present performance data to maintenance teams regularly.
Develop and maintain standard workflow process and provide a (1) month look-ahead Preventive Maintenance (PM) schedule to the team weekly.
Track, verify, and report Service Level Agreement (SLA) performance indicators weekly to the team and coordinate with team to improve performance and meet objectives.
