Job Description

Position: Facilities Director

Location: Greencastle, PA

Wage: $70,000 - $90,000

The following are the major responsibilities of the Facilities Director, but do not describe minor duties or other responsibilities that may be assigned from time to time. Requirements are representative of minimum levels of knowledge, skills and/or abilities. The Facilities Director manages the maintenance and custodial staff while directing an effective, overall maintenance and custodial program to include operation of the buildings, grounds and equipment.

Duties & Responsibilities:

  • Examines the building(s) on a regular basis for needed repairs and maintenance.
  • Establishes and recommends priorities on repair projects. Meets daily with all maintenance staff to schedule and follow up on work orders and work in progress.
  • Estimates the cost of repair projects in terms of labor, material and overhead.
  • Performs maintenance work such as replacing worn or defective wiring, switches, faucets, plumbing fixtures and the like, repairing fencing, asphalt, concrete, ceilings and the like.
  • Assigns work, maintains and keeps up to date records of inspecting work and assisting and training crew members. Maintains the computerized work order system.
  • Develops a system of dealing with emergency repair problems with efficiency.
  • Prepares reports on costs of work done, materials used and labor expended.
  • Orders equipment as needed and makes recommendations for supplies and equipment purchases.
  • Consults with building administrators regarding the use of the Preventive Maintenance Program.
  • Advises on the hiring of contractors to perform certain maintenance or repair services.
  • Insures that custodial staff meets regularly with building administrators.
  • Provides answers for complaints and inquiries from customers/client concerning custodial services.
  • Notifies the Superintendent of hazardous weather conditions for possible closing or early dismissal of schools, where applicable.
  • Monitors the attendance records of department employees and maintains accurate earned time off records.
  • Monitors all deliveries.
  • Supervises and inspects the improvement and renovation work performed by outside contractors and verifies that the terms of all such contracts have been fulfilled before authorizing final payments.
  • Remains informed of the latest trends, developments and products in the areas of maintenance, repair and cleaning and encourages innovation and experimentation as appropriate.
  • Reviews payment of bills submitted by building vendors, contractors, testing laboratories, consulting engineers and surveying firms.
  • Receives and maintains insurance policies secured by contractors and verifies appropriate coverage for public liability, property damage, fire insurance and Workman’s Compensation.
  • Prepares weekly and monthly progress reports as well as building inspection reports.
  • Performs weekend security checks and schedules a rotating schedule of trained maintenance staff to take 24 hour, 7 day per week emergency call when management is unavailable.
  • Assures that custodial coverage is available for after hour meetings and other special events and activities.
  • Performs other tasks as may be required from time to time as assigned by the client or District Manager.

Working Conditions:

Work outside in extreme weather conditions as well as inside clean, well-lit, well-ventilated buildings. Lifting and supporting up to 50 pounds and push or pull up to 200 pounds. Must be aware of the dangers of strains while lifting, pushing or pulling and while working with equipment. Must exhibit safety awareness in working areas with wet, slippery, floors and exposure to hazardous materials.

At times, the facility may be shorthanded. You may be required to fill in and you may perform tasks that are not part of normal function but are essential to the operation. When this situation occurs you may not leave your assigned service area until you are relieved or the service has been completed and the area properly cleaned. I will not leave our Department until our service functions have been completed or I have been relieved.
