Job Description

The Facilities Coordinator serves as the strategic leader for all facilities operations, overseeing vendor coordination and building maintenance. This role combines supervisory leadership with strategic planning expertise to manage complex facilities projects while maintaining seamless daily operations. The coordinator supports a team of facilities staff and provides operational support across multiple domains, including maintenance and operations, accounting and finance, equipment and supplies management, and occupancy services. Central to this position is the ability to proactively develop and maintain strong client relationships while ensuring strict confidentiality and consistently meeting expected service levels. Success in this role requires effective collaboration with senior leadership, project management teams, building operations, and client stakeholders to deliver exceptional facilities services that support organizational objectives.

Location: Bellevue, WA

Schedule: Monday through Friday, 8am – 5pm

Wage: $29.19- $32.28 per hour

Key Responsibilities

Facilities Operations Leadership

  • Develop and implement strategic facilities plans, including space utilization, vendor management, and operational efficiency improvements.
  • Assist with all building-related certificates of insurance (COI), vendor contracts, and service level agreements, track renewal dates and ensure compliance.
  • Lead facilities projects including office moves, space reconfigurations, furniture installations, and building improvement initiatives.

Strategic Facilities & Vendor Management

  • Manage vendor relationships and service contracts for janitorial, security, HVAC, landscaping, and other facilities services.
  • Develop and manage facilities budget, including forecasting, cost control, and expense tracking for all facilities operations.
  • Coordinate building maintenance and repairs, serving as liaison between building management, property owners, and internal stakeholders.
  • Implement and maintain facilities management systems, tracking tools, and documentation for inventory, assets, and work orders.
  • Lead emergency response coordination for facilities-related incidents, including evacuations, equipment failures, and building emergencies.
  • Develop and enforce facilities policies, procedures, and safety protocols to ensure compliance with regulations and company standards.
  • Conduct regular facilities audits and inspections, identifying improvement opportunities and implementing corrective actions.

Requirements

  • High School Diploma or GED required
  • Associate degree preferred
  • Minimum 3-4 years of experience in facilities management, operations coordination, or related field with demonstrated leadership responsibilities.
  • 1+ years of supervisory or team leadership experience, managing facilities staff or operations teams.
  • Experience managing vendor relationships, service contracts, and facilities budgets preferred.
  • Ability to work independently and manage multiple priorities simultaneously.
  • Superior attention to detail and ability to meet deadlines in a fast-paced environment.
  • Strong organizational skills with ability to maintain accurate records and tracking systems.
  • Excellent communication skills for coordinating with vendors, building management, and internal teams.
  • Proficiency with facilities management software (CMMS), shipping systems, space planning tools, and Microsoft Office Suite.
  • Ability to be flexible and change direction at a moment’s notice; not change-adverse.
  • Ability to work cohesively with other supporting vendors, including project management, security, and facilities.
  • Ability to understand, interpret and follow Northwest Center (NWC) and client policies and procedures.
  • Commitment to working in an inclusive and diverse environment.

Working Conditions & Physical Demands

  • Must be able to frequently carry and lift supplies/equipment, up to 50 pounds.
  • May need to carry supplies to other buildings.
  • Variable working hours with occasional nights and weekends.
  • Ability to stand or walk for extended periods of time, up to the entire duration of the shift.
  • Ability to read, write, communicate and comprehend the English language.
  • Ability to see both distance and details at close range, within a few feet of the observer (with or without corrective lenses).
  • Ability to identify and understand the speech of another person (with or without a personal auditory hearing device).
  • Ability to work a flexible schedule to meet the needs of the business
