As Facilities Coordinator, you will deliver high-quality facilities management services and serve as a key point of contact between JLL, the client, and service providers, ensuring smooth daily operations and exceptional site standards.

Key Responsibilities

Service Delivery & Operations

  • Oversee day-to-day facilities operations to keep the site organized, well-maintained, and fully functional
  • Conduct daily site tours and routine floor inspections to identify and address maintenance needs
  • Manage incoming requests via telephone, Corrigo ticketing system, email, and in-person interactions

Vendor & Client Management

  • Develop and maintain productive partnerships with client representatives and key suppliers
  • Keep the client informed about FM activities, progress, and outcomes
  • Review supplier performance through spot-checks to ensure contractual obligations are met

Systems & Compliance

  • Maintain the Work Order system (Corrigo) efficiently with Reception and backup FM staff
  • Schedule, maintain, and report on PPM (Planned Preventive Maintenance) and statutory work
  • Follow client and JLL Environmental, Health & Safety standards and report any concerns

Project Support & Administration

  • Manage smaller refurbishment projects, equipment installations, upgrades, and pilots
  • Handle Purchase Order issuance and budget reporting
  • Ensure mail services are properly managed and coordinate backup coverage during staff absences

Team Support & Emergency Response

  • Assist with Reception operational needs and arrange backup coverage for vacations or sick leave
  • Support emergency response situations as a key team member
  • Provide ad-hoc FM assistance for the office, region, and account

Requirements

  • Experience in Facility Management or a similar field
  • Strong interpersonal skills to manage relationships with diverse service providers and client representatives
  • Ability to structure and lead your own work independently
  • Sound written and oral communication skills
  • Demonstrated ability to manage multiple operational matters simultaneously
  • Capacity to deal with problems effectively
  • Sound computer skills in Microsoft Office
  • Fluent German and adequate English
  • Proactive, detail-oriented, and service-focused approach
