The Role

The Facilities Coordinator will serve as the first point of contact for the Istanbul office while providing comprehensive facilities management and administrative support. This dual-function role combines front-of-house reception duties with facilities coordination, ensuring smooth daily operations, vendor management, and excellent service delivery to employees and visitors. Working closely with the JLL FM Lead, you will manage office services, coordinate with building management, and maintain a safe, efficient workplace environment.

What this job involves

• Acting as first point of contact for all office visitors and managing reception area professionally.

• Supporting the JLL FM Lead in coordinating essential services including building management liaison, security, maintenance, and subcontractor management.

• Managing reception calendar and inbox, handling incoming calls and directing appropriately.

• Arranging staff requests including meeting bookings, lunches, transportation, and staff passes.

• Coordinating catering deliveries for townhall meetings and liaising with IT support.

• Attending building management meetings and communicating with Gulsan Plaza front desk, security, and facilities teams.

• Logging and managing facilities expenditure budget and obtaining necessary approvals.

• Ensuring building fabric maintenance and completion of planned and corrective maintenance.

• Managing post, courier services (Moto-courier), and package deliveries and scheduling.

• Taking inventory of office supplies and ordering as needed.

• Developing and implementing office policies, administrative systems, and efficiency procedures.

• Monitoring and enforcing health and safety procedures to ensure safe environment for staff and visitors.

• Generating Purchase Orders (POs) and managing procurement processes.

• Managing existing car leasing vendor contracts and coordinating vehicle services, maintenance, and tire changes.

• Handling communications with all vendors including cleaning company (IFS), water supplier, Pronet, Turk Telekom, TTNET, Enerjisa, and others.

• Processing administrative fees and checking building/office invoice expenses with building management.

• Managing traffic ticket communications and follow-up.

• Coordinating transfer arrangements for foreign guests arriving in Turkey.

• Tracking e-invoice platform for staff Setur invoices (following Supervisor instructions).

• Completing building access and onboarding procedures for new colleagues.

• Supporting vendor management functions and Ministry of Health submissions for sponsorships.

• Organizing offsite meetings and events with external suppliers.

Desired skills and experience

• Experience in Facilities Coordinator or senior-level administrative role preferred.

• Advanced English language skills in verbal and written communication (essential).

• Excellent interpersonal and communication skills with ability to engage effectively across all organizational levels.

• Strong time management and organizational skills with ability to multi-task effectively.

• Proactive, productive attitude with strong problem-solving abilities.

• High attention to detail and accuracy.

• Driven, motivated approach with ability to use own initiative.

• Ability to work under pressure and meet strict deadlines.

• Flexibility to work outside core business hours when required.

• SAP experience advantageous.

• Basic procurement and Purchase Order knowledge.

• Pre-accountancy and general bookkeeping knowledge.

• Willingness to engage with whatever is needed to keep the office running smoothly.

• Professional demeanor with ability to maintain confidentiality.
