Job Description

POSITION SUMMARY

The Facilities Coordinator supports the day-to-day operation and maintenance of company facilities. This role coordinates routine maintenance, custodial services, and minor repair activities to ensure a clean, safe, and functional work environment. Working under the guidance of the Director of Facilities, the Coordinator triages service requests, supports office moves, and helps maintain building systems and equipment.

DUTIES AND RESPONSIBILITIES:

  • Receive, prioritize, and fulfill service requests from internal and external customers using the computerized maintenance management system (CMMS). Maintain the CMMS database, administer workflows, troubleshoot errors, and serve as the primary point of contact with the CMMS vendor.
  • Monitor and schedule preventive and corrective maintenance for building equipment, including HVAC systems, generators, boilers, and air compressors, using Enterprise Building Automation System (BAS) software. Coordinate service calls as needed.
  • Administer the enterprise card-access and intrusion-detection system (C•CURE) to add, delete, and correct cardholder records. Generate reports as requested by facilities leadership.
  • Participate in building inspections and identify conditions requiring attention.
  • Perform or coordinate minor repairs and custodial tasks, including interior painting, basic plumbing, and electrical maintenance.
  • Coordinate office relocations and new workspace setups in collaboration with IT and outside vendors. Assist other departments with furniture moves and supply deliveries as needed.
  • Maintain an organized Facilities storage room and track inventory of supplies and materials.
  • Contribute to the development of emergency procedures for accidents, fires, and other incidents.
  • Operate a cargo van safely and in compliance with all traffic laws when required.
  • Identify and recommend process improvements to enhance facilities operations and service delivery.
  • Perform additional duties as assigned; schedule may include extended hours or on-call availability.

EXPERIENCE AND QUALIFICATIONS:

  • High school diploma or equivalent experience
  • Minimum of two years related facilities experience preferred
  • Experience with CMMS systems, such as E-Maintenance, preferred
  • Valid state driver’s license and a clean driving record required

KNOWLEDGE, SKILLS AND ABILITIES:

  • Working knowledge of basic building trades (plumbing, electrical, painting, general maintenance).
  • Dependable and detail-oriented, with sound judgment in routine decision-making.
  • Strong organizational skills with the ability to manage multiple priorities and move tasks forward in a structured manner.
  • Customer-service orientation with the ability to identify facility concerns and respond with appropriate urgency.
  • Effective written and verbal communication skills, including the ability to escalate issues that affect project timelines or status.

PHYSICAL DEMANDS:

This position requires the ability to lift up to 40 pounds frequently, climb ladders and access roof hatches, move about the facility, and communicate effectively. Use of standard office and maintenance equipment is expected. This position requires local travel between office locations.

WORK ENVIRONMENT

Traditional office environment with occasional outdoor exposure.
