Facilities Coordinator

Location: Wetherby

Be the Heart of Our Workplace

We're looking for a proactive and customer-focused Facilities Coordinator to join our Wetherby team. This is a varied and rewarding role where no two days are the same.

As the face of the site, you will play a key role in creating a welcoming, safe and efficient working environment for employees, visitors, customers and contractors. From managing reception and meeting facilities to overseeing site maintenance, health and safety compliance and providing administrative support, you'll be central to the smooth running of our office and operational facilities.

What You'll Be Doing

Front of House & Customer Service

  • Manage the reception area, switchboard, post room and visitor experience.

  • Welcome visitors and provide a professional first impression of the business.

  • Support meetings and events by preparing rooms, organising refreshments and ensuring equipment is available and fully operational.

  • Deliver excellent customer service to employees, customers and visitors both in person and over the telephone.

  • Manage the ordering and control of office equipment, stationery, welfare supplies, printers, scanners and IT equipment.

  • Support inbound customer enquiries and provide occasional holiday cover for sales support activities.

Facilities & Site Management

  • Ensure buildings, grounds and facilities are maintained to a consistently high standard.

  • Coordinate planned preventative maintenance and arrange prompt resolution of repairs.

  • Monitor the condition of grounds, landscaping and car parking areas, ensuring compliance with regulatory requirements where applicable.

  • Manage third-party contractors, ensuring quality standards, cost control and service delivery expectations are met.

Health & Safety

  • Take ownership of key site health and safety processes and compliance requirements.

  • Coordinate fire drills, water testing, emergency lighting checks and fire equipment servicing.

  • Manage contractor control procedures and ensure all contractors are authorised and competent.

  • Lead the accident and near miss reporting process across the site.

  • Ensure appropriate numbers of trained First Aiders and Fire Wardens are maintained.

  • Create and maintain risk assessments and method statements for site activities.

Administration Support

  • Provide day-to-day administrative support to sales and management teams.

  • Support telephone enquiries, data entry and general office administration.

  • Maintain and update the Integrated Management System (IMS), ensuring documentation remains accurate and audit-ready.

What We're Looking For

We're seeking someone who is organised, professional and able to manage a wide variety of responsibilities while maintaining exceptional attention to detail.

Essential Requirements

  • GCSE English and Maths Grade C/4 or above (or equivalent).

  • Relevant Health & Safety and Contractor Control qualifications.

  • Excellent communication and interpersonal skills.

  • Strong organisational and problem-solving abilities.

  • Ability to prioritise and manage multiple tasks effectively.

  • Confident using Microsoft Office applications.

  • Experience working within an office, facilities, administration or customer service environment.

  • A proactive approach with the ability to work independently and as part of a team.
