Parexel Early Phase Clinical Unit supports the development of innovative new medicines which are vital for public health, improving outcomes, and saving lives. The early phase and “first in human” trials are the first step in testing these novel treatments in humans.
About the Role
We are seeking a Facilities Coordinator (Facilities Specialist, Workplace Coordinator, Office Facilities Coordinator) to join our team on-site at our Glendale Early Phase Clinical Unit. This role is a key member of our Facilities team, supporting daily operations within a busy clinical research unit where reliability, responsiveness, and teamwork directly contribute to an environment that supports the development of new therapies for patients.
As a Facilities Coordinator, you will serve as a versatile operational partner across the site, helping maintain a safe, efficient, and productive workplace. Working closely with the Senior Facilities Coordinator and collaborating with pharmacy, laboratory, nursing, and other operational departments, you will play an essential role in resolving facility issues, coordinating vendors, managing supplies and inventory, supporting shipping and receiving activities, and ensuring employees have the resources they need to perform their work effectively.
You'll join a fast-paced, growth-oriented environment focused on making a meaningful impact through facility operations, workplace support, and safety compliance. With diverse teams and continuous learning opportunities, the Facilities Coordinator can explore career paths and expand skills across facility management, workplace operations, and clinical research support functions.
Key Responsibilities
Respond to facility service requests and troubleshoot workplace or building-related issues to ensure smooth site operations.
Coordinate vendors and service providers, including scheduling work, facilitating site access, and supporting maintenance activities and repairs.
Monitor facility needs and contribute to preventive maintenance efforts that support a safe and efficient work environment.
Manage facility, office, kitchen, and janitorial supply inventories, ensuring essential resources remain available to support daily operations.
Process orders, maintain inventory records, and support budget-tracking and facility documentation activities.
Support shipping and receiving operations, including distribution of incoming packages and coordination of deliveries.
Assist with office moves, workspace planning, furniture installation, and workplace reconfigurations as organizational needs evolve.
Support conference rooms, shared spaces, meetings, and special events requiring facility coordination.
Assist with workplace safety initiatives, security procedures, emergency preparedness activities, and compliance-related documentation.
Provide receptionist backup coverage during breaks, absences, or other operational needs while helping maintain a positive experience for employees and visitors.
Candidate Profile

Required Qualifications
Associate degree or bachelor's degree in related field; a high school diploma with additional relevant experience may be considered.
2-4 years of experience in facilities management, office administration, or related roles.
Understanding of facility operations, maintenance requirements, workplace safety practices, and building systems.
Familiarity with vendor management, service contracts, facility management records, and budget tracking processes.
Strong communication, organization, customer service, problem-solving, and multitasking skills.
Preferred Qualifications
Professional development in facility management principles and practices.
Training in workplace safety and emergency procedures.
Certifications such as Facility Management Professional (FMP) or IFMA Certified Facility Manager (CFM).
Knowledge of OSHA regulations and compliance requirements for office environments.

The potential base pay range for this role is $19.00-$25.00 per hour. The actual salary offered may vary within this range based on several factors, including the position and level offered, skills, education, training, experience, professional achievements, and location.
Some roles may also be eligible for additional incentives, bonuses, or other compensation programs. Our Talent Acquisition team will provide details on applicable bonus plans or incentive structures for eligible positions.
