Job Description

At Places, we make things happen in service of all Apple employees and customers. Our team manages Apple's global real estate portfolio, capital construction projects, and workplace services, ensuring outstanding facilities, sustainability, and safety across our sites worldwide.
As a Facilities Coordinator, you will play a vital role in creating and maintaining a seamless, productive workplace for Apple employees and visitors.
In this role, you will be responsible for the day-to-day coordination and delivery of Soft Services across a portfolio of office buildings located in Munich and close to Stuttgart.

Coordinate and oversee daily facility operations with a focus on Soft Services, including cleaning, reception, events, canteen, and vending services across multiple office locations.
Manage vendor performance to ensure compliance with contractual Service Level Agreements (SLAs), quality standards, and Health & Safety requirements.
Conduct regular site inspections to ensure facilities are maintained to corporate standards and identify opportunities for continuous improvement.
Serve as the primary point of contact for employees, vendors, landlords, and internal stakeholders, ensuring workplace services are delivered efficiently, safely, and in line with agreed service levels.
Plan and coordinate small office refurbishment, fit-out, and minor construction projects, working closely with contractors, landlords, and internal stakeholders.
Manage service requests through the Facilities Management system, ensuring timely follow-up and resolution.
Coordinate office and lab moves, furniture changes, workspace reconfigurations, and occupancy updates.
Ensure compliance with local regulations, company policies, and Health, Safety & Environmental (HSE) standards.
Build and maintain strong relationships with employees, business leaders, landlords, contractors, and service providers to deliver an outstanding workplace experience.
Maintain compliance by managing tools, procedures, records, documentation, and invoice processing.
Support Facility Managers with ad hoc requests and special projects.
Work independently, take ownership, and consistently deliver high-quality results.

Proficiency with iOS, macOS, and Microsoft Office.
Willingness to learn new tools and integrate AI into daily work.
Bachelor's degree or equivalent qualification in Facilities Management, Business Administration, Engineering, Hospitality, or a related field.

Minimum Qualifications

Demonstrated experience in Facilities Management, with a strong focus on Soft Services within a corporate office environment.
Experience managing multiple office locations or a regional property portfolio.
Proven experience coordinating external service providers and managing vendor performance.
Experience coordinating small office refurbishment, renovation, or workplace improvement projects.
Fluency in German and English (written and spoken) is required.
Proven experience managing and coordinating external technical resources (e.g., contractors, vendors) for facility-related projects, ensuring technical requirements are met on time and within budget.
Valid driver's license and willingness to travel regularly between sites.
Proven technical understanding and collaboration with technical team.
