Facilities Coordinator

Major Function

The Bezos Earth Fund is accelerating progress toward a more equitable, sustainable, and climate-resilient world. We're seeking a Facilities Coordinator to provide high level front-office support to the Bezos Earth Fund’s physical office. As a critical, externally facing team member, the coordinator will assist the operations and events teams in general office management tasks and support events taking place onsite.

Key Responsibilities:

  • Procurement of office and café supplies, and staff lunches
    • Curate a weekly lunch menu based on staff attendance, tailored to dietary requirements/restrictions
    • Execute the full setup and breakdown of a catered, buffet-style lunch service
    • Maintain office supply inventory through corporate Amazon Business account
    • Organize and stock snack and refreshment station, perform weekly snack and beverage inventory as needed
  • Vendor management
    • Serve as the primary point of contact for day-to-day vendor services
    • Direct vendors who are onsite for work, including Events
  • Perform administrative and operational support tasks including:
    • Input visitor and vendor information into building management system;
    • Daily upkeep of reception, café, and small meeting areas;
    • Receive and route mail and deliveries as needed
  • Track and report facility-related issues that require attention and liaise with property management office as needed.
  • Assist events team in staging, staffing and breaking down onsite events, including moving furniture when necessary.
  • Provide secondary reception area coverage
    • Greet visitors, confirm the purpose of their visit, and direct them to the appropriate location.
  • Perform other duties as assigned.

Required Skills/Abilities:

  • Excellent verbal communication skills.
  • Excellent interpersonal and customer service skills.
  • Understanding of administrative and clerical procedures and systems.
  • Proficient with Microsoft Office Suite or related software.
  • Ability to work a flexible schedule and/ or extended hours including evenings and weekends.

Education and Experience:

High school diploma or equivalent required. 2 years' experience performing vendor management or providing facilities support is also required. Administrative experience preferred.

Physical Requirements:

  • Regularly sits and stands throughout the workday, with frequent movement throughout the office
  • Bends, stoops, crouches, and reaches overhead when accessing storage, equipment, or signage
  • Pushes and pulls carts, furniture, and equipment during space reconfigurations and events
  • Extended periods of standing and walking required when supporting on-site events
  • Climbs stairs and ladders to navigate multi-floor facilities or access equipment
  • Must be able to lift and carry up to 35 pounds
  • Requires visual acuity to inspect spaces, read work orders, and monitor safety conditions
  • Requires adequate hearing to communicate with vendors and staff and respond to alarms or building systems
  • Requires sufficient fine motor dexterity to operate tools and handle keys, access cards, and small hardware

Salary Range $80,000 to $88,000
