The company has grown rapidly since it was founded almost 27 years ago and currently has around 500 staff working across nine European offices (Amsterdam, Berlin, Brussels, Cologne, Dublin, London, Madrid, Paris and Prague). We are seeking a proactive and organised Facilities Coordinator to support the day-to-day running of our Dublin office.

This is a part-time role (c.60%) requiring a strong on-site presence (ideally across 4–5 days with flexibility on hours). The role focuses on ensuring a smooth, professional and welcoming office environment for colleagues and visitors.

You will work closely with colleagues in Dublin, as well as with the Facilities Manager and Director of Facilities based in London. While the role requires initiative and independence, guidance and support will be provided.

This role would suit someone with previous office, facilities or administrative experience who enjoys a varied, hands-on role and is looking to work within a collaborative and supportive environment.

The Key Areas of Responsibility

Reception & Front of House:

  • Act as the first point of contact for visitors, clients and suppliers

  • Manage meeting rooms, hospitality and catering services

  • Handle incoming calls, post, courier and deliveries

Office & Facilities Management:

  • Support the smooth day-to-day operation of the day-to-day running of the Dublin office

  • Maintain high standards across office spaces

  • Conduct regular office walkthroughs and proactively resolve issues

  • Manage office supplies, stock control and supplier invoicing

  • Liaise with building management, cleaning providers and contractors

  • Coordinate routine repairs, maintenance and office equipment servicing

Health & Safety:

  • Act as local coordinator for office Health & Safety activities in collaboration with the central Facilities Team

  • Undertake first aider and fire warden responsibilities (training provided where required)

  • Help maintain H&S records, policies, and documentation

  • Conduct periodic checks and support annual risk assessments

  • Deliver H&S inductions for new joiners

  • Maintain emergency procedures and documentation

Office Planning & Projects:

  • Provide support for office moves, changes, and improvements as needed

Coordination & Administrative Support:

  • Work closely with the Dublin PA/EA team, providing mutual support where needed

  • Provide occasional administrative support (e.g. events, travel coordination)

  • Collaborate with IT, Finance and People teams on office-related processes

Essential Requirements:

  • Previous experience in an office administration, facilities or similar role

  • Strong organisational skills and attention to detail

  • Proactive approach with willingness to take initiative

  • Ability to manage a varied workload and prioritise effectively

  • Confident communicator with good interpersonal skills

  • Comfortable working both independently and as part of a team

  • Interest in or basic understanding of Health & Safety (training can be provided)

  • Good IT skills (MS Office and general systems)
