Purpose of the Role

BGIS is seeking an experienced Facilities Coordinator to manage day-to-day operations and act as the primary point of contact for stakeholders. Reporting to the Facilities Manager, you will oversee maintenance requests, manage vendor performance to meet service level agreements, and ensure compliance with OHS&E policies, all while driving operational excellence and fostering strong client relationships.

The ideal candidate will be proactive, detail-oriented, punctual, and skilled at managing both hard and soft services. Experience in complex environments such as healthcare or government is highly valued.

Key Responsibilities

  • Oversee and manage maintenance requests, ensuring service contracts and KPIs are consistently met
  • Support the Facilities Manager with daily tasks, including budget management, invoice review, and procurement processes
  • Maintain and update the CMMS system for all work orders
  • Ensure compliance with OHS&E policies, safety standards, and sustainability practices
  • Supervise service contracts, subcontractors, and periodic inspections
  • Foster strong relationships with clients, stakeholders, and internal teams
  • Promote teamwork, accountability, and a positive work environment

Education, Experience & Skills

Essential:

  • Experience in property, corporate real estate, or facilities management environments
  • Proficiency with CMMS and Microsoft Office suite (Word, Excel, Outlook)
  • Strong financial acumen and understanding of QA, OH&S, and environmental systems
  • High School Certificate or equivalent; formal qualifications in building/facilities management preferred is highly regarded
  • Excellent communication, organisational, and stakeholder management skills

Desirable:

  • Knowledge of building services, maintenance, tendering, and subcontract documentation
  • Flexibility and adaptability in problem-solving and multitasking
  • Current First Aid Certificate and environmental legislation/system qualifications

Workplace Flexibility

This role is based on-site at our dedicated BGIS office, with high levels of client interaction. This role operates Monday – Friday during Core Business Hours.
