The Opportunity

We are currently looking for a Facilities Coordinator to support the smooth and efficient operation of our manufacturing, warehouse and office facilities in Malaysia.

Reporting to the Facility Manager, you will play a key role in coordinating facilities operations, maintenance activities, contractor management and compliance efforts. This role is critical in ensuring a safe, efficient and compliant working environment across all site operations. You will work closely with internal stakeholders, vendors and contractors to deliver high-quality facilities support in a fast-paced, regulated environment.

Key Responsibilities

Facilities Operations & Maintenance

  • Coordinate preventive and corrective maintenance activities to minimize operational disruption.
  • Perform first-level troubleshooting and coordinate issue resolution with vendors and contractors.
  • Support renovation, upgrade, and repair works across manufacturing, warehouse, and office areas.
  • Monitor and respond to facilities service requests via internal systems.
  • Liaise with landlord/property management on building-related matters.

Vendor & Contractor Management

  • Coordinate contractors’ schedules and site activities to ensure timely and safe execution.
  • Monitor vendor performance to ensure quality, safety, compliance, and service delivery standards.
  • Support procurement of facilities-related equipment and services in line with company policies.

Safety, Security & Compliance

  • Ensure compliance with EHS standards, permit-to-work systems, and Malaysian regulations.
  • Support facilities audits and maintain audit-ready documentation.
  • Manage site access control, security systems, and coordination of facility-related emergency response coordination.
  • Ensure contractors and visitors adhere to safety induction requirements.

Workspace & Employee Support

  • Support office moves, workstation setup, and onboarding/offboarding activities.
  • Assist with employee facilities requests and ensure timely resolution.

Documentation & Continuous Improvement

  • Maintain accurate records including maintenance logs, reports, layouts, and compliance documentation.
  • Contribute to process improvements and support quality initiatives.

Why is this role right for you?

Experience & Qualifications

  • Minimum 5–7 years of experience in facilities coordination, maintenance or building operations.
  • Diploma or Certificate in Facilities Management, Electrical, Mechanical, or Building Services (or related field).
  • Candidates with exposure working in an MNC environment and medical device manufacturing facilities are preferred.

Skills & Competencies

  • Strong coordination, problem-solving, and organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Good knowledge of building systems (electrical, mechanical, HVAC, etc.)
  • Effective communication and stakeholder management skills
  • Experience working with vendors, contractors, and service providers

Additional Advantages

  • Hands-on technical or maintenance background
  • Experience supporting audits and compliance activities
  • Chargeman (AO/A1) or relevant technical certification is an advantage

Working Hours

This role requires flexibility to support operational needs, including rotational shifts:

  • AM Shift: 6:30 AM – 3:30 PM
  • PM Shift: 4:00 PM – 1:00 AM
  • On-call support for facility emergencies and after-hours activities may be required.
