As Facilities Coordinator, you are the backbone of the day-to-day running of our office environment. You’ll provide essential administrative support, ensure smooth operations, and help create a welcoming and efficient workplace for colleagues, visitors, and partners.
Provide general administrative support including data entry, filing, and document management.
Answer phones, respond to emails, and direct enquiries to the appropriate teams.
Greet visitors and ensure a professional, friendly front-of-house experience.
Manage incoming and outgoing post, deliveries, office supplies and refreshments.
Support meeting room bookings and company events, set-ups, and diary coordination.
Maintain accurate records and reports and update internal systems as required.
Support Facilities and Maintenance Manager with raising works requests as required
Ensure the office environment is tidy, safe, and well-stocked throughout your shift.
Collaborate with Maintenance Coordinators to provide cover during holiday periods to ensure team workload is balanced.
Strong organisational and time management skills.
Excellent communication and interpersonal abilities.
Confident using Microsoft Office and basic office systems.
Friendly, professional, and customer-focused approach.
Ability to multitask and remain calm under pressure.
Reliable and punctual, with a flexible attitude to shift work.
Previous experience in an administrative or office support role.
Familiarity with booking systems, shared calendars, or visitor management tools.
Experience supporting multiple departments or teams.

Hybrid Working:
Most of our teams at our Support Centre offer a flexible approach to Hybrid working. 1 or 2 days in the office per week usually does the job for us to work collaboratively, and we use Microsoft Teams for those virtual catch-ups.
