The Role

An excellent opportunity has arisen for a Facilities Assistant to join Oh Polly, a global fashion brand, at our Bromborough site.

The Facilities Assistant will support the Facilities Manager with the day-to-day maintenance, safety and upkeep of the building and warehouse. This is a practical, hands-on role covering reactive repairs, planned maintenance, routine compliance checks and equipment inspections.

The role also acts as a key point of contact for facilities matters on site when the Facilities Manager is unavailable.

We are looking for someone who is reliable, proactive, safety-conscious and practical, with the ability to prioritise tasks and recognise when an issue needs to be escalated to the Facilities Manager or a specialist contractor.

Key Responsibilities

Maintenance and Building Upkeep

  • Carry out general reactive repairs, including basic plumbing, joinery and building maintenance.
  • Clear blocked drains and toilets and resolve minor plumbing issues.
  • Repair and adjust doors, hinges, handles and door closers.
  • Replace light bulbs and carry out minor repairs to fixtures and fittings.
  • Carry out painting and decorating as part of the annual maintenance programme.
  • Maintain external areas and pathways, including cleaning external building panels.
  • Complete planned improvement works, including pest-proofing.
  • Undertake seasonal works, including gritting, snow clearance and clearing gullies and rainwater drainage.
  • Report significant defects or hazards to the Facilities Manager.

Planned Preventative Maintenance (PPM) and Compliance

Under the direction of the Facilities Manager, following appropriate training and documented procedures. Training will be provided where required, including Legionella awareness and fire safety training.

  • Complete weekly fire door inspections.
  • Complete weekly fire alarm call point testing.
  • Undertake weekly tap water temperature checks and flush identified low-use water outlets, in line with the site water hygiene regime (ACOP L8).
  • Support emergency lighting function tests.
  • Support routine fire alarm and sprinkler checks.
  • Maintain accurate inspection records and report any defects promptly.
  • Ensure assigned PPM activities are completed within required timescales.

Specialist or statutory inspections and maintenance requiring specific qualifications must only be undertaken where the postholder is appropriately trained, competent and authorised to do so.

Warehouse and Equipment

  • Carry out routine inspection, cleaning and basic maintenance of warehouse and facilities equipment.
  • Maintain pick, replenishment and return trolleys.
  • Visually inspect manual pump trucks, including chains and general condition.
  • Carry out weekly visual condition and housekeeping checks of the areas around lifts, box machinery, pot wash equipment, manholes, drainage and compactors, reporting anything that requires attention.
  • Report defective equipment and remove it from use where required.
  • Support routine warehouse inspections covering pedestrian routes, doors, fire safety, housekeeping and general building condition.
  • Support visual racking condition checks in line with SEMA guidance, were appropriately trained and competent.

Facilities Cover

On days when the Facilities Manager is off site or on annual leave:

  • Act as a key contact for day-to-day facilities matters on site.
  • Respond to maintenance and facilities issues and escalate significant incidents to Operations Manager.
  • Liaise with approved contractors attending site and ensure they follow relevant site procedures, including permits to work and induction requirements.
  • Maintain records of repairs, incidents and works undertaken.

Outside the postholder’s working days (Monday and Friday), facilities matters should be directed to Operations Manager. The Facilities Assistant is not expected to provide cover outside contracted hours.

Health and Safety

  • Follow company health and safety policies, risk assessments and safe systems of work.
  • Always wear and use appropriate PPE.
  • Use tools and equipment safely and in line with training received.
  • Report hazards, near misses, accidents and unsafe conditions.
  • Follow site procedures when working around warehouse machinery and operations.
  • Maintain good housekeeping standards.
  • Ensure maintenance activities do not create unnecessary risk to employees, contractors or visitors.

Working Conditions and Physical Requirements

This is an active, hands-on role. The postholder should expect:

  • Work across both office and warehouse environments, spending significant periods on foot.
  • Manual handling of tools, equipment and materials (training provided).
  • Working at height using steps and ladders, for example when changing light fittings or cleaning external panels (training provided).
  • Occasional outdoor work in cold or wet conditions.
  • During winter, gritting and snow clearance may require an earlier start by prior arrangement.

Skills and Requirements

  • Previous practical maintenance or repair experience.
  • Good problem-solving and communication skills.
  • Ability to work independently and as part of a team.
  • Ability to follow maintenance procedures and safe systems of work.
  • Good attention to detail and accurate record keeping.
  • Comfortable working within both office and warehouse environments.
  • Willingness to undertake relevant facilities and health and safety training.
  • Basic plumbing, joinery, painting or decorating experience.
  • Experience with machinery or hydraulic equipment.
  • Previous warehouse or industrial facilities experience.
  • Experience with PPM, fire safety or water hygiene checks.
  • Relevant facilities, maintenance or health and safety qualifications.
  • Full UK driving licence. (Include only if the role requires driving)
